[MT-L] How are you setting up Meditech 6.0 USER mnemonics?

Just wondering, we have much discussion regarding the upcoming Meditech
6.0 User Mnemonics. Can anyone share their experience/decision and how
it has worked for your organization?

We did change - in Magic they used A and their employee number but we went to just the employee number. We did have to fill in a conversion table but we are glad we made the change.

We initially thought about changing mnemonics... but then we realized we
would have to fill in a conversion mnemonic for every user so we decided
not to change them. We had enough trouble with providers who were not
users with the same mnemonics as actual users.

So we are still using the first three letters of the last name and the
first and last letters of the first name.

Susana,

We are a UK site with 6.0 (but not live yet).

Our "typical" mnemonic is = Last name + 1st character, for example I am GREEND, and this was chosen so that it resembles the NT Logon name (whose format has since changed!). To avoid duplicates we add another character from the first name, for example GREEN, DUNCAN would be GREENDU.

For last names > 9 characters then the last name is truncated to 9 characters, for example BRAITHWAITE,ADAM would be BRAITHWAIA. To avoid duplicates we would reduce the last name to 8 (or less) characters and add another character(s) from the first name, for example BRAITHWAITE,ANNE would be BRAITHWAAN.

This format has worked for us (so far!) but I think most people here would have preferred more characters with which to work (so that we could make the names unique without truncation or even incorporated an abbreviation with the name to identify their role).

I would be interested to learn what other sites are using too!

David, how do you handle when a user has a name change, do you create
new mnemonics? When we migrated to 6.0 we chose to use the employee #
to avoid this situation... Thanks.

Yes, we create a new entry (and therefore mnemonic).

The use of an employee number (as long as it's less than 11 digits in length) is a good one but we have been so ingrained into searching on mnemonic that now it's hard to imagine not having the name in the mnemonic! (As some look-ups use "Display Name" and others use "Last Name, First Name" it's handy to be able to search on the mnemonic).

Mary,

We are discussing changing our user IDs to employee numbers in 6.0. What do you do for users who are not employees and or doctors.

How did users of the NPR applications in 6.0, such as registration, take to the doctors no longer having named based mnemonics? Was there a lot of complaints about the extra click on the name button when doing a lookup for a doctor?

Initally we used 8 chars First Name - 2 chars last name for users then for providers used first 8 chars of last name, 2 chars first name. With actve domain, we had to start using the first and last intial combined with employee number. This was really confsuing for users who would get mixed up between logging into Meditech and logging inot the computer. It seems much easier to use the employee number combined with user initials in Meditech.
