Description: POSITION TITLE: Benefits FMLA Coordinator
PURPOSE: To be responsible for the providing effective, proactive and responsive customer service to employees, managers, and external customers on Family Medical Leave (FMLA)/Leave of Absence (LOA) matters and support the Benefits Manager and Benefits Administrators in the administration of these programs.
"This position consistently supports compliance and the Principles of Responsibility (Kaiser Permanentes Code of Conduct) by maintaining the privacy and confidentiality of information, protecting the assets of the organization, acting with ethics and integrity, reporting non-compliance, and adhering to the applicable federal, state and local laws and regulations, accreditation and licenser requirements (if applicable), and Kaiser Permanentes policies and procedures.In addition, Regional leaders are accountable for communication, implementation, enforcement, monitoring and oversight of compliance policies and practices in their departments."
Accountabilities: 1. Administers the Family Medical Leave (FMLA)/Leave of Absence (LOA) Tracking Program 2. Supports/communicates regularly with the Benefits Specialists on FMLA/LOA 3. Generates Leave Letters along with required documentation to employees and ccd Supervisor 4. Maintains tickler file 5. Maintains FMLA/LOA Database 6. Queries HRIS to audit and validate all records on FMLA/LOA. Expanded process review including creation of tools and methods to identify inconsistencies or errors made within the Benefits and/orEmployeeServiceCenter. 7. Develops and reports metrics around Family Medical Leave / Leave of Absence Programs. 8. Audits monthly benefits premium reports for leave benefits. Prepares report for review of Benefits Specialists. 9. Generates and mails Benefit Premium Letters for employees on leave. 10. Receives/logs all benefits premiums received and send to Accounts Payable 11. Provides reports on monthly basis on FMLA/LOA activity. 12. Maintains two-years period of FMLA/LOA files 13. Responsible for having FMLA/LOA files transferred to the warehouse. 14. Supports with other special projects, as assigned. 15. Supports Human Resources Receptionist at front desk.
MINIMUM REQUIREMENTSRelevant Years of Experience: * Three years of experience in a Human Resources environment required. * Two years of FMLA/LOA experience required. . Advance knowledge PeopleSoft Query or People Tools for purpose of creating ad hoc and production reports from People Soft required. . Human resources experience to include benefits administration required. . Knowledge of benefits administration, federal and state laws preferred. . Advance knowledge in Micro-Soft Office Suite required. * Ability to be flexible and adaptable, with the ability to assume other duties and responsibilities as departmental objectives and requirements change required.
Education and/or Classes: * Associates Degree in relevant field or equivalent combination of education and experience required. * Minimum typing with accuracy of 50 wpm required.
