Myself and Tahir went to the Radisson today, and apart from finding out lots of things which will be discussed at the next meeting, one of the main things was that the set menu has gone up to £30.60 due to VAT. This would give us an extra cost of £72- one in which I dont think we should pay! When the meal was costing £30 the students were getting a very good deal paying only £30 for a ticket, but I felt we could afford this. However, I don't feel we should be covering any costs towards their meal, so Tahir and myself decided it might be best to charge £32/£37 for the dinner tickets instead. What do you think??? The only information that says £30/35 on them are a few posters that have been put up, which haven't been up for long, and if there are a few people that question this we could tell that the truth...a VAT rise! Im happy to quickly get the posters down first thing and put more up tomorrow, so we can start advertising and selling tickets at the new price asap. Is everyone ok with this?
With this slight increase on tickets the profit we will make is between £200-£400+. This means the money we currently have in the bank left to spend on 'extra' things (dj, wine on table,this semester) + the money we make from the after-dinner tickets should just cover the wine on the table (3 bottles on each table of 10ppl). So this profit from tickets could go towards paying for a dj (perhaps the one jonathon got at £240), plus with some of this left over (£100 say) + one cake sale we'd then have a lovely amount of money to spend this semester (pub quiz kb lots of wine for lecturers/students or the celidh??!) and we should have enough for a meal for us guys!!
 
Please let me know what you think so I can start sorting out the new posters straight away.
 
Things with the photographer went well but I'll chat through this on monday.

That sounds fine.  Are we definitely going with this Dj? If so I will contact him to confirm.  Also now that we know all the details should I send out an email saying we will be sending tickets next week?

The dj sounds like a really good deal. Will he provide lighting for the disco aswell with that? Guessing he's got all his own equipment? We scheduled the dj in for about 11.30-1am. If he was to arrive early is he ok with taking a break whilst the celidh band is on? If so then it sounds really stress free for us, because if we were to find someone from fresh air or an alternative source we may need to still look for equipment/lighting hire from other places anyway, and we would have to rely on students to do the djing who aren't reliable at all!
 
The only thing we need to get sorted before we start selling the tickets is what we going to do about food orders. The guy favoured having one set meal (plus a veggie option), simply because people can forget what they ordered and it can get abit messy. However, if we're willing to take on this extra work then it can work, and we just draw up a seating plan of what tables are having which meals. He advised on only having 2 options instead of all 3. I think 2 options would work well, people get a choice and we should be able to manage this. We would just have to stress to people not to forget what they ordered (if thats possible!). What do people think about giving 2 or 3 options?
 
We should deffo start selling tickets asap. Monday sounds like a good day to start selling. Will this be from the hub? Are we going to sell everyday next week?
 
I know not everyone has a copy of the menu to look at so the menu is:
 
Starters: Scotch Broth, Grilled Aubergine and Mozarella, Spiced Pork Belly on noodles
Main: Chicken stuffed with haggis, Salmon, Pork
Dessert: Warm Apple Tart, Choc & Mascarpone Cheesecake, Cranachan
 
If we were to give 2 options then personally I feel soup is a no go at a ball, then since pork is an option for a starter I'd rule out the pork for the main (this would give people a nice alternative of fish or chicken), then for the dessert this is only because im not a cranachan fan and by the seems of things at last years ball neither was noone else I would rule out chranachan. People however might like a bit of tradition. Anyway this is just my opinion, I'm saying all this simply because I feel we should get this sorted quickly in order to start selling the tickets. Please dont feel im pushing my opinion on anyone!!

I have phoned Alan (the dj) and he will do lighting, background music when we want it.  He seems to know what he is doing so I think we will get value for money.  Oh yeah and he is providing a microphone for any speeches as well!

Spoke to my friend who's contacted Fresh Air and even though they haven't comfirmed anything yet she said they could probably do it for around £50. The only thing with Fresh Air is that there would be no lighting- which it could still work without. Is it worth waiting to see what they say? Have you let the other guy know yet Jonathan? Also is that inc/exc VAT?
