Hey

How do people feel about having some kind of raffle at the ball seen as we have loads of money left? Between courses we could do a raffle which would be their ticket numbers. It would be nice to do something abit creative with the money...any other suggestions?  Or maybe some kind of maths memorabilia to take away...

good idea, another suggestion is maybe paying for everyone to have X free photos?

At £2 each this would cost £170 for everyone to have 1 free photo. Which we were going to spend roughly that amount on thurs so we can definately afford it. Could probably afford a raffle prize as well.

How do people feel about offering the photographer some food on the night? It wouldn't cost the three course meal price...he could just choose a meal.

Is he not lowering his price then? If we choose to buy a photo for everyone we are guaranteeing him a certain amount of business.

No he wont lower it. Said he only does it cheaper for large organisations who have regular events. Plus we're getting him for free.

Also everyone might not want an individual photo but rather a group one, would that count as one free each?

Raffle would be a  nice touch though.

Putting money towards photos is a nice idea, maybe £2 per person (so each can get a free standard photo, or a cheaper larger one).  As for a meal for the photographer we could but this is pretty good business for him anyway so we shouldn't feel obligated to.  The raffle could work too, though we would need to think of suitable prizes.

It doesn't mean everyone would have an individual photo. He would still take group photographs during the drinks reception and it wouldn't matter how many he took of each group. The token would come into play with the purchasing (he will be printing copies on the night after the meal for £2). So essentially everyone in one group photo could buy the same photo if they all wanted that one. He said if it works he could take photos during the meal time (obviously not when people are eating!), so people could buy one of those if they liked.

If we do the free photo I think it might work best if we give them a token, which we could place on their dinner mats there for when they first sit down. If we gave them £2 then we cant enforce they spend this on a photo and it would be like just giving them all £2 back. Im sure we can come up with two really good raffle prizes.

I'm not sure the free photos will be a good idea. The photographer probably will not have enough time to take all the photos or print them.

I can ask him this. Think he should be able to get all the photos done just about between 7.30-8.20pm, and by the sounds of things his machine can fire out photos in a minute or so. He is happy being around until one if necessary, which means people can collect their photos between 10-1 once they've finished eating.

in terms of making sure everyone gets to choose a photo if they want one, he can just put a the photo number they bought on the back of their ticket and that way they remember that when they come to collect it aswell.

If Im thinking of this correctly then the way it will work is people wont view the photos before the meal whilst he's taking them, it will be too rushed as it is trying to take all the photos. He'll probably take quite a few incase a few don't look good, then after dinner people will be able to view them somehow (this is where the notice board came in, however I'm not sure how this will work and he hasn't specified anything yet) then wait there while he prints them off as they wont have to wait for long... If we decide to definately go ahead with this then I can ask him how it will best work.

I had invited you guys to the facebook group for the photos....Can someone find a way to invite everyone from the maths ball fb event if thats possible.
