GMU Cycling Club,

 

As I have not heard from any of you since this email went out, I am not going to approve any further travel or use of club funds until this meeting takes place to clarify this.

 

I would also stress that for the future, we will not be hosting any races unless there is buy in by the club members (not the coach), in order to get this stuff taken care of.

Greetings Mason Riders,

 

Attention!! 

 

Hopefully you have taken our bills to Ryan Bradshaw at Club Sports, completed the Post-Event Meeting with him, and authorized the payments to USAC, NOVA Parks, and Fountainhead NVRPA.

Getting these bills paid on time is important to the clubs reputation, especially with regards to having future races at these parks (or authorized by these organizations). 

 

Remember that our event was on September 12-13, 2015 -- Almost 2-Months ago! All club officers need to take this notice with the highest priority and urgency!! 

 

Please be prepared to report on the status of these outstanding bills at Tuesday's meeting @ 5pm:

 

1. Post-Event Meeting with Ryan Bradshaw (At least make the appointment -- this is very late)

2. Authorized Payment to USAC Officials (Lew and Janet - also very late)

3. Authorized Payment to USAC (Post-Event Report and Insurance Requirement)

4. Authorized Payment to NOVA Parks (Laurel Hill/Lorton Prison Park)

5. Authorized Payment to NVRPA (Fountainhead Regional Park)

The complete USA Cycling Post-Event Report was due to the USA Cycling office within 21-days of the event, as stated on the permitting and post-event materials.

Please submit the following items to the USA Cycling office:
1. USA Cycling Post-Event Report Form

2. Insurance Surcharges/$3.60 per rider, per day

3. Any annual license or one-day license applications sold on-site, along with payment of license fees

4. Officials Report

5. Reports of Occurrence and original signed USAC Athlete Release forms (if
there were any Reports of Occurrence from the event). If no Reports of
Occurrence were filed at the event, you do not need to return the signed USAC
Athlete Release forms. Please keep the athlete release forms for 10 years for
legal purposes.
