When custom transaction numbers are engaged, the user is telling QuickBooks that they have their own system that they'd like to follow. When a new transaction is created, QuickBooks will still follow the process of looking for the last transaction number and adding one. However, there is lots of room for errors that can lead to the duplication of transaction numbers, often when you don't expect it.

If you are manually creating a few transactions inside of QuickBooks, then perhaps it wouldn't be that hard to track a custom methodology for numbering invoices. I've seen some people add an initial to an invoice number to indicate who created it. I've also seen people add the year at the beginning. Some might include an internal code to show which department generated it.

This system could work in the case where only a few transactions are being created, but my question is whether the process is even necessary? I would strongly suggest that you ask yourself the business question of what you're trying to accomplish by using custom transaction numbers. Remember that the QuickBooks transaction log already logs the person who created the transaction. And the invoice itself will have a date with the year listed. The invoice can also have a department added to it. This is one of those areas where you could be causing lots of extra work for very little marginal gain.

When Novi is added to the mix, the important thing to remember is that our system can create hundreds or even thousands of transactions very quickly. When we create those invoices, we are going to rely on QuickBooks to assign a transaction number, and the number that they are going to provide will be the very last transaction number plus one. If your custom transaction numbers are out of sync to start with, imagine having a couple thousand dues invoices with invoice numbers that were used in 2006. We've even seen situations where the invoice numbers are blank.

Before the days of QuickBooks Online and Novi AMS, custom transaction numbers served a purpose. Especially in cases where a number of people or departments were creating invoices or sales receipts, bookkeepers and accountants needed a way to track who did what.

Today, both QuickBooks Online and Novi AMS have robust audit logs that track all of this information and more. If the goal is to track the staff member who created a transaction, what year it was created, or what department it was created for - all of that can be done automatically and with much greater accuracy than trying to keep track of custom transaction numbers.

Please Note: If you use this setting and ever need to enable custom transaction numbers, please understand that you would need to disable this feature in Novi prior to enabling the custom transaction numbers in QuickBooks.

QuickBooks Online inventory tracking features could be fine for small retailers. However, manufacturers need a system that can help them with raw material inventory management and track the conversion of those raw materials into finished goods.

QuickBooks Online does not provide a specific feature for adding lot numbers. You may be able to find workarounds utilizing SKUs and description fields, but these will quickly become cumbersome when needing to track lot numbers on a daily basis. The best option is implementing a 3rd party inventory management system that offers such features.

Since you already able to create a recurring invoice with fixed no. of line items through Make API Call, the next step will be dynamically adding line items, which you can do with JSON app. With JSON app in Make you can create aggregate multiple bundles into one JSON object, which you can map to line item field/array in your API call.

Description: These errors occur when HouseCall Pro attempts to sync a job/invoice (with a specific invoice number) to QuickBooks Online, and there is a Credit Memo with the same number already in QuickBooks Online. This error can be tough to understand, especially if you'r not in QuickBooks Online on a daily basis.

To keep a very long story as short as possible, the invoice number you see on your job in HouseCall Pro always needs to match the invoice number for that same job in QuickBooks Online, and that number should to be unique in both places.

Ordinarily this is not a problem, every-time HouseCall Pro creates a new job it will take that last invoice number used and add one, going from 1156->1157->1158 and so on. Because all of your invoices start in HouseCall Pro and then are pushed over to QuickBooks Online, the invoice numbers are unique there as well. Now, from time to time, your bookkeeper or accountant will need to enter a credit memo in QuickBooks Online.

Because QuickBooks Online increases its credit memo numbers in the same way HouseCall Pro increases its invoices, 1156->1157->1158, QuickBooks Online will assign the new credit memo the bookkeeper or accountant crated the same invoice number as the next job you create in HouseCall Pro. When HouseCall Pro then tries to send the job you created over, you get an error.

It is very important the you speak to your bookkeeper or accountant before changing a QuickBooks Online credit memo number, they will need to make some adjustments in QuickBooks Online after you have finished. Please only change the credit memo number in QuickBooks Online if it is absolutely necessary.

Pro Tip: If you choose to change the credit memo number in QuickBooks Online keep in mind that you will need to manually adjust the invoice number the next time you create a new QuickBooks Online invoice in order to reestablish sequential invoices.

Once you click that button HouseCall Pro will start the process of reprocessing the error. You may be prompted to provide HouseCall Pro with additional information depending on the type of error you are reprocessing, but this will typically be asking fairly simple questions. Once you have clicked the reprocess button, and dealt with any popups, the error will disappear from your QuickBooks Sync center. No further actions is necessary, congratulations, you have resolved the error.

In looking at my bookkeeping it appears that the way the Sync with Etsy App for Quickbooks Online has changed how it's importing sales. I'm not showing any sales receipts, even though I've had sales. My Etsy Bank is showing a negative balance. The only items coming over are fees.

QB self-employed seams to be the best to use with etsy and have less problems. Only this week I was wondering if online was better and how and thinking I should possibly change but it dos seam like every time etsy change anything online as problems.

I've had the same issue and although it is now importing, the missing transactions have not been added. I just spoke with a Quickbooks rep on the phone and it doesn't sound like sales from before the connection was resolved will be added. She said that since it's a "Third Party Product," they're not able to provide support on that. I'm dreading manually importing this all and hoping someone here may have an easier way to do it!
