Looking for one (or two) additional perspectives on the relationship between state parks agencies and their State Archives.

Goal of session is to hear how state parks agencies and State Archives are finding ways to document the archival record of state parks systems, and to increase access to these records that have until recently been largely unknown to the whole parks agency, and to the public. What role can a state parks agency archivist, and State Archives staff all play to acquire and increase access to these records.

My presentation would be entitled "Salvaging Archival Records of the Massachusetts State Forests and Parks System, One Park Office at a Time". At a critical time for MassParks, comprehensive archival and records management surveys were conducted between 2009-2013 by the agency’s archivist at 75 Massachusetts state forests and parks Park Offices during 100 days using a systematic methodology and reporting process to identify, inventory, and salvage (when necessary) archival records; and to address records storage and management issues. Archival records not needed by the Park Supervisor were transferred to the Archives Office; and non-permanent records that had exceeded their legal records retention according to the Massachusetts statewide records retention guidelines were destroyed. As the State Archives holds no archival collections that document the State Forests and Parks System (est. 1904), and has no resources for this level of records survey work, there is value and benefit of having an in-house agency archivist/historian/records manager to conduct such survey work on their behalf, and to gradually process, then, transfer selected records series to the State Archives.

Uniqueness: Model survey for other states to use to salvage state forests and parks archival records in Park Offices. Ensuring Access: Agency staff from many disciplines and locations have equal access to general-to-specific inventory of park files, reports, and plans located at Park Offices. Archival records salvaged from Park Offices and transferred to agency Archives actively being used by range of staff, and for research by public. Records balance between field operations and archival preservation.
