MALiA new contracts and renewals effective 7/1/2021

Tomorrow, July 1st, new MALiA contracts (Serials and Supplies) and contract renewals (Materials) take effect.   All related documents are posted on the MALiA website at http://malialibrary.org/ under the Contracts menu.

A special huge thank you to Nancy Sconzo, Procurement Manager at the Library of Virginia, for her masterful work executing renewals, RFPs, and the new contracts on MALiA’s behalf.   Additional heartfelt thank-you’s to the members of the MALiA contracts committee -- Lorraine Swank, Sandy Smith, and Shannon Steffey -- for graciously helping with the evaluation of vendor proposals, acquisitions guru Mary Clark at the Library of Virginia for kindly serving as our serials acquisitions expert, and MALiA’s web administrator extraordinaire Jody Hanshew for adding the renewal documents and new contracts to the MALiA website.

Below is contract status for each MALiA contract area.  

Materials
Our existing materials contracts with 17 vendors have been renewed with no more optional one-year renewals remaining.  The renewal documents cover July 1, 2021 through June 30, 2022.  In spring 2022, a new RFP will be issued so that new materials contracts can be in place by July 1, 2022.   To access a Materials vendor renewal document, visit http://malialibrary.org/library-materials/ and click on the link to the vendor’s contract page.  

Serials
A new RFP was issued in March 2021 and new serials contracts were awarded to three vendors:  Ebsco, Jupiter, and WT Cox.  These are the same vendors with prior MALiA serials contracts.  The new Serials contract # is LVA-SER-21-003 and the contract period is three years with two optional one-year renewals.   Attachments B and C in the new contracts show the vendor service requirements and discounts tied to LVA-SER-21-003.  To access a Serials vendor contract document, visit http://malialibrary.org/services-3/ and click on the link to the vendor’s contract page.  

Supplies
A new RFP was issued in March 2021 and new supplies contracts were awarded to six existing vendors (Arcon, Brodart, Demco, Jupiter, Kent Adhesive, Melos), and four new vendors (Conservation Resources, Hollinger Metal Edge, International Library, K-Log).   The new Supplies contract # is LVA-SUP-21-004 and the contract period is three years with two optional one-year renewals.   Note: The new Supplies contracts cover consumables, furniture, and equipment up to $10,000 per item (it was $5,000 in the prior contracts).   Attachments B and C in the new contracts show the vendor service requirements and discounts tied to LVA-SUP-21-004.  To access a Supplies vendor contract document, visit http://malialibrary.org/library-supplies/ and click on the link to the vendor’s contract page.

Using MALiA Contracts
To use MALiA contracts or get clarification regarding any contract terms or discounts, your library will work directly with MALiA’s contracted vendors.   You will need to provide vendors with the MALiA contract number and your library’s MALiA member number.  The vendor contract pages of the MALiA website provide vendor contact information.
