I am sending the following email on behalf of our summer student Sam Watson.

 

Dear MAIG members,

 

I am a summer student at Stratford-Perth Archives and have been asked to research how other municipal archives show appreciation for donors to their collections. Examples of donor appreciation practices could include letters from the archivist or elected officials, public events and displays highlighting new donations, and articles in newsletters or on social media acknowledging donors and their contributions. As we work on a formal policy for donor appreciation at Stratford-Perth Archives, we’d like to build on best practices and wisdom of our colleagues at similar archives.

 

I would appreciate answers to the questions below or any information that you could share with me about how your archives acknowledges those who donate personal papers, photographs etc to your organization. All information collected will be treated as confidential and used for our information only. We thank you in advance.

 

QUESTIONS

1.    Does your archive currently have a formal donor appreciation policy? (Yes or No)

·         If yes, would it be possible to obtain a copy of the policy by attaching it to your reply?

 

·         If you don’t have a formal policy or are unable to share it, would you please describe what practices you use to recognize or acknowledge those who’ve donated to your archives?

 

2.    Does your archive offer charitable donation receipts for tax purposes? (Yes or No)

·         If yes, do you have a formal policy specific to issuing tax receipts that you are able to share by attaching it to your reply?

 

3.    Any additional information or comments about donor appreciation practices at your archive or municipal archives in general?
