Hi Committee!
Stefanie Chow and I spoke with our faculty advisor yesterday afternoon, and GOOD NEWS: we DO NOT have to go through the box office to sell tickets! So, we can sell through tabling... LOTS of tabling.
Benefits of not going through the Box Office:
1) We don't have to pay the $1.10 fee for each printed ticket, which saves us from paying almost $1000.

Smaller Cons:
1) I've already advertised on the posters that people can go through the box office. It also feels a little more official, for people who don't aren't Circle K members?
But we can always replace that part with labels.
2) We don't have a lot of time for tabling.
3) There is a limited amount of opportunities for people to buy tickets. But we can always tell nonmembers to contact one person if they want a ticket and for them to pay up front during the Day-Of. Or they can come to the GBMs to buy their tickets. (?)
4) We print our own tickets.

What do you guys think?

so  if people from other schools decide to go and aren't in circle k, how will they be able to get the tickets?

When people NOT from UCSD want to buy tickets, they can either send in their payment and pick up their tickets on the day of Masquerade Ball, or if we have leftover tickets, purchase them at the door. Regardless, everyone (except UCSD Circle K) will have to pick up their tickets at Masquerade Ball, unless you come up with a more efficient system this year...which...there probably is one >.>

Committee,

Can we do both?

Being the devil's advocate here, but can't we do both?

Sell tickets through the box office, but try to get as many ticket sales via our tabling and individual sales as possible?

Sincerely,

I think it would be good to see which method would be more cost efficient and take into account the cost of printing tickets. Also if we sell through tabling we would have a ton of money with us which can be pretty dangerous. I also think it seems more official to have it though the box office and you don't have to worry about change/losing tickets/losing money/miscounting.

To me, $1000 is a lot of money to save! I'm not sure how much printing up your own professional tickets would cost, but I feel you can get some for far less than $1000.

For example, you could design them like smaller club cards. They could be in color, be laminated, still look really professional and would probably cost you no more than $200 (I think, can't remember club card costs).

I would definitely look at the option of not using the box office first.

If it's possible to sell tickets both at the table and in the box office, I think it's better to do both because:

1) The flyers already say "box office" on it and people would get very confused
2) Luis is right, having a lot of money at the table is VERY dangerous since we have people coming and going all the time
3) Box office closes at some point while they can still buy tickets from the table/board members whenever

If people buy tickets at the box office, does the club have to pay the $1.10 for each?

I agree with most of what has already been said and I would prefer to selling tickets through the box office and by ourselves.  Having that much money is pretty dangerous.

However, I think the prospect of saving $1000 is pretty good!!  Let us know once you find out the costs of printing:)

Hey Guys,

Tickets for events, food, merchandise, etc. are constantly being moved right along library walk, and from my knowledge there is not a precedence of robberies along library walk in broad daylight.

If possible, I think we should sell it both ways as Jason suggested earlier. Are we able to put a certain amount of tickets.. say 200? for the box office and the rest for our own printing? I think this could work since most people buy it via other circle k clubs or from a friend. We'll just tell members and others that tickets are also available through specific Circle K members and/or tabling.

As for selling solely on our own, I think it'd be a lot more work and less official because we'd have to change all 1000 flyers to say "Purchase at tabling" AND have people table everyday for a month. If we use the box office for a smaller amount, let's say 200, then the few who cannot make tabling hours can buy them at the box office? I agree that the amount of money is not an issue, but the amount of opportunities that we can table may be. Originally I was planning to table for two weeks: the week before Masquerade Ball and the week of.

Do you think that, if we stick to that schedule of two weeks, it'll be enough time for people to purchase tickets? Or should I table for an entire month? Because it seems like a hassle.

As for people from other schools, their clubs are responsible for sending me the money and list of attendees by a week or so before Mball, and they would purchase their tickets at the event. I think that's the most efficient way to do it. We'll prepare the number of tickets in an envelope beforehand, marked with the school and distribute them to the correspondents? Or we can have them come up to the desk one by one and check-in, since I'm planning on selling tickets the day of as well.

If it is possible to do both, I agree that a small amount should be made available at the box office, especially since they're on the flyers already.

That's all :)

Cheers,

I think at least 2 weeks is good. It's about what we had last time. I think the extra publicity this year will help sales during this period.
