FINAL REPORT ON SPORTS DAY TICKETS

Please find the report for the LYP sports day as of 01.12.2011.

The following are my observations:

1.      We have a surplus of Ksh 52,654. A total of Ksh 40,000 is expected from Mombasa as we had loaned them. We have the other balance in form of cash. We have another Ksh 43,000 still outstanding form some members.

2.      I have noted with great concern that there are members who have not either surrendered their tickets neither have they paid. As committed members we owe the foundation an obligation of fulfilling our mandate and making the work of the treasurer easier. Project must be closed on time. It’s with great concern that despite several reminders members are yet to honor their pledges. It in this regard I would propose whenever  we have function that are intended to raise funds that we cap a limit of 3 weeks to have the project closed.

3.      We are also expecting Mombasa to finalize their remittance on the tickets sent to them. We should expect another Ksh 50,000/=

4.      We are almost closing the year and we should have a concrete budget for next year. We should in essence be knowing what we have collected from the following areas:

·         Tickets gala night.

·         Tickets sports Day.

·         Annual pledges.

·         Sale of merchandise.

·         ETC

5.      We should target of a minimum 5 candidates next year, by now we should have mechanism of how to recruit the students. In regards to the Boy at Lenana I think our role is not just paying fees, we need to be seen to be involved with the child more. As we move to the New Year, we must have scheduled visit in our programs. We must be visible in their lives.

6.      Let also have the LYP foundation bank account up and running.

7.      Finally was thinking we could also plan for a fundraiser in first half of the year to boost our kitty.

 

Finally let’s make the work of the treasurer easy by honoring our obligations.

Thanks alot for this report.

However, out of the 40,000 we had given Mombasa, they owe us like Kes 34,000 since i am the one who collected all monies for raffles and tickets that day. so after i paid Kes 125,000 for whitesands, there is some cash that we got from that. But its some several transactions so havent finalized as had a very busy week, once i finalize the accounts, most likely tomorrow, will show the breakdown how it is.

Also i paid for several of you for accomodation and meals so as to clear the hotel bill so once i compute will let each one of those know tomorrow how much they owe esp. for those who went to Mombasa before 19th

Once the full report is out, it will highlight persons who still owe the club in terms of T-shirts, tickets in addition to the unfulfilled pledges that are likely to be paid so that we can conclusively deal with this and begin fundraising for 2013
