Hy Team,

 

I have compiled the attached report on tickets sale and collection, bubget 2011-2012, attendance sheet sports Day Dinner and expediture report.

 

Have noted with great concern that some of us have not remitted anything yet.

 

We must be aware that the funds collected are meant to be channeled to the foundation to assist in payment of school fees next year.

 

We need to know how much we have before the end of the year so that we plan well. There were pledges by members to pay Ksh 6,000 and we need to review the progress. Dan/Erastus should prepare a report on the same. I wish to encourage members to pay as per their agreement with Erastus, Let all remember that that was the pledge for 2011 and year 2012 is almost knocking the door. With additional recruitment done during the LYP sports and this year’s talk day we need to make a follow on the same. Will also follow up with Mombasa who promised to send us 50k they should collect from tickets sent to them.

 

In all things we do we must do it professional. There were some two phones donated by Renson for MPESA AND WE MUST ACTIVELY USE THEM. Josephine can assist us in getting a business number from Safaricom so that our payments are online.

 

 

We also need to finalize on account opening.  Let all our funds be banked and financial statements are prepared regularly. If we do that it becomes easier approaching donors and well wishers to assist.

 


Thanks again for your invaluable support during the Sports Day function, even as we approach the gala night lets all participate effectively.

Thanks for this. However, its good you named it interim report since i am sure it will change when we finally do all reconciliations. For instance, i haven't got back to you since i was away most of that period thus i only started selling tickets last week. My friends still intend to give me cash so will confirm by Saturday what i have received.

Looking at the target verse the actual, i reckon we did so poorly. expenses took up half of what we raised. So at 30k to target of 150k, thats a performance rating of 20%, hardly to tap ourselves on the back.

And the fault begins with me, i feel i could have done more to make it a success. rather than congratulate ourselves, i think we should go back to the drawing boards and figure out the missing links. 150k by all standards is a small amount and we need not have had trouble doing that and i feel the planning for next year should starts now.

I know it may be painful for those who have volunteered greatly but i wouldnt support we add more students at this stage. It will be a burden that we might not carry bearing in mind we have a 15k deficit for this year school fees and another 75k for next year. So we should now concentrate on raising funds for school years 2013 and beyond.

I think the main agenda for our meeting on Thursday next week should be only post-moterm on this. We need to start planning for next year fund raising activities now, agree on venue, date and even venue and date of Gala night. This time, i want to be on the driving seat.

I also received great feedback from LYP Mombasa on some areas we need to improve. There are several things we missed in our planning and it was so obvious to our visitors and ofcourse embarrassing to me. To avoid this in future, i think we should keep a record of the day's program Vs feedback so that next year it will be easy to plan instead of starting to think again from scratch.
