Find below the request we received from Mimi Quaife about a visit of the space, I've copied below the email. 

Short version: They want an organised visit for 20 people in June. 
Thoughts?

We're in partnership with The Schmidt Family Foundation in America and various partner universities in both the UK, Europe, the USA and India.  Our Schmidt-MacArthur Fellowship programme is in its first (pilot) year and includes a week long summer school that will take place at Imperial College London.  10 postgraduate students and 10 lecturers will be chosen by us to participate.  They will be set a challenge to study the broader ramifications of digital manufacturing within a circular economy.  We feel a visit to the Hackspace will represent a great tool to increase their understanding of how things work in situ, and offer them an opportunity for Q&A.  The schedule dictates the visit take place on the Tuesday afternoon of the summer school, so on 18 June.  

Please could you revert to let me know if you think this trip out to you will be feasible, and to whom we should direct our ongoing communications to arrange?

Sounds fine to me.
 
Recommend they come as late on Tuesday as possible if they want to get a feel for it since that's when it's most busy and they'll get the best experience.
Other times it's hard to guarantee that there'll be much interesting going on.

Yeah, looks great. Make sure to point at the donation box (and our members signup form) when you show them around :)

(Marc, I assume you will host this? Wasn't sure if you're also looking for someone to take this on.)

Yes I'm sure this will inspire some students from Imperial College to sign up, and we should indeed hint to donations during the visit.
I can host it, though if I can't make it I think Matt already agreed in principle to replace me.

Update:

More details:
The organisers wanted to visit the venue first so I gave them a tour yesterday and discussed more in details about the plans for the 18th June tour. 
They sent me a description of what they would like for that visit: 

"About 25 people around the space between approximately 3.45 - 5.15PM on Tuesday 18 June. In addition to the tour that you gave yesterday, we were wondering what the possibility would be for a few 'makers', 'hackers' with interesting stories to give a 5 minute chat about their projects so that we can get an idea of the different types of projects (and people) that take place there i.e. - what are they doing, why are they doing it, their personal stories etc.
I appreciate that this may take some time to set up and that all of this will be done on a voluntary basis. As such, we would like to offer a donation of £150 to Hackspace, towards the ongoing running costs of such an inspirational and productive place."

To summarize:
- We had visits of 20+ group in the past in the old space (e.g. School of Life tours) so we can manage, but I'll still make sure this doesn't disturb (too much) the members. 
- Get in touch if you are interested to talk to the group about your project
We might need to use the classroom for the members' presentations for 30-45min.

If no objections I will add this to the calendar of LHS events.

I'm not a student but you recently had a Staff member from Imperial College in the way of me sign up :p

Have added the tour to the events calendar, get in touch if you want to demo/talk about your project during the visit (need about 3-4 members).

She says: "Obviously if there are some areas / things / people that you would prefer not to be filmed then that is absolutely fine and we can work around these."
Just to make sure I have emailed her the link to our "Filming in the space" wiki page and she sent this detailed reply:

  1. Tell the mailing listat least a day in advance. We can provide a full list of details regarding names of crew (x2) and a kit lis to equipment (likely to be a simple shoulder camera)
  2. Don't get in peoples' way, and respect their wishes for privacy.This goes without saying. We will not film anybody who does not wish to be filmed 
  3. Don't take up too much space. We will be guided by you as to whether you think this is the case. If you feel we need to cease filming at any stage then we will do so.
  4. Preferably film during off-peak hours (Mon-Friday before 18:00). I think a Tuesday at 3.45 - 5.15 pm is suitably off peak?!

Obviously since I'll be giving the tour I will make sure they don't film members without asking and will shout a warning in the space before they start recording. 
Please do let me know if any objections.

I see no problem with this, this lady clearly has a good grasp of how we
like to be treated and she will be escorted by a long time member.

The Macarthur foundation does a lot of good work. They are big supporters of the National Public Radio in the States. (like BBC radio for Yanks )

The tour is this Tuesday from 3.30 to 5.15. Any member interested in talking/demonstrating to visitors a project built at the space? 

Also they've asked if the filming crew could park their van during that time. 
I'm guessing this is fine but wanted to ask here first. 

Believe it or not they even sent me a detailed risk assessment for the visit and filming crew...

Reminder that this is happening today. I will give them the tour then Chris, Michael and Mark have agreed to briefly demo their project built at the space. End of visit at 5.15ish.

Came though the place like a troop of curious mob of meerkat "Jules" asked me to stop welding ever so politley so Mr Barto could talk on camera to which I duely obliged = no seriously curious bunch and a few of them seemed interseted @-)
