Ladies and gentlemen,

I am growing quite concerned about the Pledge issue. If we are not already, we should be proactively contacting the affected members, as well as cross-checking with Civi data to update their heir pledge status. 

Waiting on members (or chairs) to figure it out is going to have huge ramifications. Any recurring donors should have already been contacted and verified!

If this has already happened, that is fine, but members (the ones that are aware) are still expressing surprise. It is not intuitive, even with a new donation, that they'll need to check the box again.

I requested an update from staff and received the following:

I would like to assure the board and members that staff have been aware of the pledge issue since fall of last year. A multi-touch effort was made ahead of the October 31 qualifying deadline to reach out to donors who would qualify except that we did not have a pledge on file. We also communicated to and worked directly with state chairs to request they review their lists and resolve issues they found at that time. We are still very happy to do so. State chairs get a weekly report with their lists of active members at an any time they can reply to that report with questions or to alert us of errors. We will also initiate another round of communications directly to affected donors, alerting them to their status and giving them an opportunity to sign the pledge. 

To add my own note:

The weekly membership list provided to state chairs is generated in a standard default format. If you require additional or customized fields, staff can tailor the report to meet your state’s specific needs upon request. Likewise, if you need a list of lapsed members for a defined time period, staff can generate that report so you can conduct targeted outreach.

Last October California noticed that we had a large drop in membership and it turned out that they had removed a lot of members due to the pledge issue.  I went through the list and was able to provide dates that most on the list had signed the pledge in California, and reached out to people on the list to update the records if I couldn't find it. 

I think it's really important to look at the lists provided by National as another thing we're finding is a lot of life members that we have noted as having passed, but are still being shown as current.

The other concern is that National memberships are processed by National; there are cases where simply checking the membership list may not be sufficient—we don’t know what we don’t know. Distributing this task to the states may allow for more hands to tackle the job, however the responsibility lies at the top.

State Chairs should get a regular email with their national membership list - I believe it's weekly, but it could be monthly.

The hard part there, however, is an affiliate may not know if someone should be listed as a member and is not.
