Description:

The Hetrick-Martin Institute (HMI) is a leading professional provider
of social support and programming for all at-risk youth, particularly
lesbian, gay, bisexual, transgender or questioning (“LGBTQ”) youth.
HMI provides a broad range of vital programming to thousands of youth
each year, ranging in age from 12 to 24, from the five boroughs of New
York City and the surrounding metropolitan area.

We are seeking an Events Manager for "School's Out," our major summer
donor event which takes place in The Hamptons. This individual will be
engaged on a contract basis from February through mid-late June 2010
and will be paid a pre-negotiated flat fee for successful delivery of
the event.

1. Management of all aspects of the 2010 School’s Out fundraiser,
including production, publicity, financials, collateral and
sponsorships.

2. Attend recurring event conference calls and team meetings and
attend the event on June 12, 2010.

3. Manage all logistics and ensure that all deadlines are being met:
a. PR
b. Gift bags
c. Catering and Liquor
d. Décor
e.Vendors (Port-o-Potties, Tents, Dance Floors, Photographer)
f. Transportation
g. Permits

4. Manage collateral in partnership with Assistant Development
Director:
a. Save the Date
b. Invitation
c. Reminder postcard
d. E-blasts and Web promotion

5. Keep registration lists and reconcile financials with Database
Manager.

6. Coordinate transportation needs.

7. Coordinate production of event (main event and after party).

8. Coordinate volunteer training and assignments with Volunteer
Services.

9. Assist in the coordination of all phases of collateral material and
solicitation.

10. Assist the Assistant Development Director with keeping a master
list of solicitations and revenue tracking.

11. Oversee catering and venue management.

12. Manage all materials needed for "day of:”
a. Coordinate facilities logistics, including riders and menus
b. Arrange for signage at the venue
c. Produce nametags

13. Arrange thank you gifts for sponsors/host committee members/others
as needed.

14. Create and maintain a comprehensive Event binder.
Additional Qualifications:

1. Knowledge and experience in event production, venue management, and
logistics.
2. Knowledge of ticket sale procedures and procurement; plus a proven
track-record in soliciting sponsorships and donations is helpful, but
not required.
3. Proficiency in Microsoft Excel, Word, PowerPoint; plus familiarity
with Raiser’s Edge database is helpful, but not required.
4. Some experience with Adobe products and Vertical Response e-
marketing is also beneficial.
