Re: Recently updated tag!!!

Posted: 06 Oct 2009 05:55 PM PDT

Hi Ashish, I have adjusted the site settings, so that users can delete pages they have created. I'm not 100% sure that this will apply to forum posts, but I think it probably will. If you still can't delete your post let me know and I will investigate further.

Hi Wayne,

I really appreciate the idea. However, I have a few questions on this in regards to Quality Management accrediation (ISO 9001) requirements to be used as Council wide or branch wide knowledge share or Operations Manual (containing Procedures and Processes)?

Does it support/have flow charts etc?

This should not be viewed as cost cutting measure, but any efficiency gains can contribute to higher level of service (or providing the service which was not provided previously). Some of the administration type of governance/compliance is really over killing.

In this regards, for example we should share most of our processes/procedures/policies/guidelines on this website. These with minimum input and change will suit to several Councils. Consultants also charge heap more when they are mere copying and pasting 60% of their report content (when they have already done similar work for another Council).

Knowledge Sharing Policy and culture needs to be developed and supported at Corporate level.

Wayne, Ashish
ISO9000 is primarily a documentation system that records your processes, procedures and practices and (as Ashish points out) does include flow charts etc to show organisation layouts, reporting responsibilities and process structures, steps etc.
I do not see a Wiki replacing the ISO9000 (generally internal) documentation on "How a business runs/operates".
I agree with your comments on the general use of Wiki and I like you, feel there is very little going on. The lack of positive response here shows me this.
I am not surprised.
We do have a Wiki (of sorts using MediaWiki) at WSC called (very innovatively) WSC Wiki??? It is only (now) in existence because one (or now 2 people) are interested enough to add content. It probably has 100 pages (of which I have added 90). It currently is focus on our activities in "Community Engagement".
The problem is getting people interested enough to bother going onto a Wiki, looking at content and making a contribution (positive or negative). Everyone is so busy doing their job and working with the current systems (and processes and procedures and technology) that they current must use. Very few offer to do more (than is necessary!)
Also we have not promoted the Wiki too well, but even where we have there is very little response. You can see that the site has been visited (page counters) but most people seem to be reluctant to even comment that they were there.
What is this all about? I do not understand.
However, I feel we need a whole new way (and a whole new "raison d'etre") for our Wikis and we need them supported by top management (who encourage their use). Until we get this support Wikis will flounder in the "never - never" and remain the domain of a few enthusiasts (which means they will die in the you know what).
I am not sure what the answer is in the short term but I feel we need to keep plugging away and perhaps the next generation will take up the cause (with gusto).

Hi Ashish,

Wikidot doesn't have a flowchart module, but there are a few options for adding flowcharts to a site.

  • The easiest way is to convert a flowchart to a jpeg image and include it on a page as you did with the Gold Coast Map on Gold Coast City Council Page.
  • You can also upload a pdf file and provide a link to it.
  • Lastly you might be able to find a site like Zoho that allows you to publish documents, and include them on a website. I have used this approach here can create a chart here, but I haven't tried to do a flowchart this way yet. I will do a bit more research and get back to you if work out a simple way of doing it.

I don't know a lot about ISO 9001, but I am happy to answer any questions that I know the answer to!

Thanks Daron, Wayne

I agree. I also experienced lack of commitment (as tried using Sharepoint for knowledge share/collaboration - which GCCC has already invested in). I have personally shown most of staff (in my branch of approx 50 staff). But only few tried reading it, let alone contribute.

As WIKI does not meet requirements of ISO 9001 (International Standard for Quality
Management Systems) accreditation for quality control over documentation, it won’t be supported (and will be easily opposed).

The whole fundamental of control documentation is contradict to anyone can edit and contribute philosophy of wiki. So, I do not know how will it be justified to use it for official/business purposes?

Regards,
Ashish
