This e-mail is VERY IMPT so please reply to confirm your receipt ASAP. This e-mail is mainly for Conference Managers managing panels, but there are two items for everyone:

Block Off Your Calendar for Friday, Feb. 22, the day before the Conference, from 10am-4pm. We're all going to get together then, go through some logistics for the day-of, so that each of you is an expert in the day's events. We'll also have some drinks, food, and relax as we have some folks helping to get Conference materials ready (please get friends to volunteer by filling out this form here:
http://bit.ly/144yL8E). On the day of the Conference, you will all only be expected to manage your segment (be it contact with sponsor representatives, day-of-logistics, or your panels or working lunches). Yet, if we have an emergency, we may need you to step up to help, so everyone should be familiar with the day's events.
Conference Managers Managing Panels
We need to start follow-ups with panelists and moderators to (1) provide logistical forms (attached to this e-mail) and (2) craft the panel's questions. I attached a detailed word document with template language to use that includes timelines for these deliverables (which are summarized below).
1. This Week: Contact Moderator for one-on-one Call and to Craft Panel Questions (This Week)

By Sunday Night: Construct Sample Schedule of Questions with Moderator (By Sunday night), and share these with your panelists before your conference call so you have something to discuss.

This Week (today or tomorrow): E-mail for Logistics and to Schedule Conference Call with Panelists for next Monday, Tuesday, or Wednesday.

+- Reimbursement forms (attached, please download) [The template e-mail asks your speakers to confirm their projected reimbursement amounts by replying to you via e-mail. Please put these figures into the Workstream Management spreadsheet next to each speaker's name. Thanks.]

4. Next Week: E-mail with Panel Outline (After Revisions from Group Conference Call)
5. Next Week: Share Final Panel Outline and Questions
