Hi Joe,

Thanks so much for coming back to me so quickly. I am ccing the rest of the Committee and Camille who is organising our finals night.

If it is sandwiches, that is fine with us. And thank you, re toilets - most helpful.

We will be stricter on teams clearing up themselves this year.

Thanks again,

Leo

Hi Leo,

Thanks that's great and works for us.

That's very generous of you re. Bluestep! I'll look out for your email and my colleague Chris who runs our merchandise will send over our t-shirt design that we use for our Baseball4Beginners progarmme.

There won't be any additional clear up cost, we just ask that you utilise the bins that we provide. Then at the end of the day if you can leave the rubbish bags by the public bin at the bridge.

We have been told we aren't allowed food trucks by the council before, no clear reason given for this unfortunately so sandwiches might have to be the play here.

Regarding the pavilion, yes we'd be happy for you to use this and the toilets in the clubhouse are available for use.

Thanks
Joe

Hi Joe,

Thank you for the information. The floodlights would only have been needed for week after the 13th - we will now jig around our season and play on Thursday 6 August - so we won't need floodlights.

Thank you re speaker system and the delivery/ drop off explanation. Makes absolute sense.

I have asked Bluestep re 96 children's tops - no probs. We'll cover the cost. They will give it to us for cost and we will cover. I'll send you over designs - so need to get your logo and size requirements.

Also, just dotting the T's - clear up, is there an additional cost? And could we have a food van there? if not, no problems - we'll get sandwiches delivered.

I think we would like to book you. I'll need you to invoice me in April and we will pay up front to confirm booking. I see you have a small pavilion and I am guessing there are toilets there - could our guests use them?

That's it for now.

Leo

Hi Leo,

That's positive, please see my answers below:

1) Sadly not yet, although this is our goal for 2027
2) For delivery we can open a main gate by Endymion Road, but this isn't somewhere for cars to park it's just for delivery and then the vehicles will need to park nearby. There is a retail park with a Sainsburys c. 200m away which has a large car parking space.
3) We do have a speaker system we'd be happy to lend out.

Just re. T-shirts, these would be for adults as it's our adult beginners programme

Thanks
Joe

Hi Joe,

I hope you had a good weekend.

I presented some venues to our Committee and it seems that we all would like to explore your stadium.

I have a few questions that I wonder whether you might be able to answer for me.

1) Are there floodlights? In case we play the wee after when the sun will be going down by 20:30
2) When cars/ vans need to drop off - do they do this by the road or can they drive up to the fields?
3) Is there a tannoy system to read out the scores?

That's it for now. I am meeting with our sponsors today - I will ask about your t-shirts - are these children sizes?

Hi Leo,

Thanks for your time on the phone. As discussed, I'll confirm on the exact week our youth summer camp is running this year, but if your event can be hosted one week either side this won't be a problem regardless.

I look forward to hearing from you regarding when you would like to visit the fields to check suitability.

Thanks again for reaching out.

Hi Leo,

Thanks for confirming.

I'd like to introduce you to Joe O'Connell, copied, over at the London Mets - their field is in Finsbury Park, and they might be able to assist with your requirements. Happy to provide some other options as well, but please feel free to discuss with Joe and keep me in the loop!

Best,
Chris

Hi Chris,

Apologies seems your emails went into my spam.

Yes I contacted Regent's Park and although they have pitches they don't allow Spectators or marquees so they are not an option.

Hi Rachel,

Thank you for your email. I know Farnham park. This is not suitable. But thank you. I look forward to hearing from Chris.

Hi Leo,

I can confirm that Farnham Park would be available for those days, (we're almost always available mid-week 🙂 ) but aware that it is outside of London and may not fit your requirements, but it has 4 fixed softball pitches.  There is a preferred caterer onsite.  We regularly run tournaments with more than that number, so it will accommodate it

Hope this helps and Chris will be in touch with other options

Afternoon Leo,

Thanks so much for those details. We are happy to take a look at the places we have access to and see if there's a fit. I'm assuming you're looking to do this in London?  I ask as Farnham Park might be an option that weekend - Rachel Clarke, our Head of Ops can confirm, and fully appreciating you may want to say inside the M25, that might be a good backup option.

Have you been in touch with Regent's Park at all?

Thanks!
Chris

Good morning Chris,

Thanks so much coming back to me.

We would like to hold our finals on either 12 or 13 August.

We have 5 sponsors and 4 of them like to bring medium sized marquees. We provide free food and drinks. Happy to use your food supplier.

Around 500 charity people descend from around 1600 and will stay with us until 2130. The sponsors arrive at 1400 to set up. Everything is free for charity folk.

Although access to loos would be great we have brought in portaloos before.

We just need a green space that is big enough for two pitches and space for the marquees.

Feel free to call me if you need more info. I am exploring options as we have a limited budget.

Leo

Good morning Leo,

Thanks so much for getting in touch. Happy to help if we can - would you be able to provide a few more details about what your venue requirements are, when you need it, etc? I'm happy to see if we have a contact somewhere that will fit.

All the best,
Chris

Hi Leo,

That's all excellent, just on the date point is there any chance this could be a Wednesday night rather than Thursday? Just because we have a much larger number that usually train Thursdays.

Many Thanks
Joe

Let me have a chat with the Committee, I am sure this won't be too much of a problem.

p.s. you and your board/ committee should also come along. Free drink and food - not to mention a chance to meet sponsors etc

Hi all,

please find the artwork for our B4B t-shirts attached, as well as an image of how the shirts look for logo size and placement reference. We will request both male and female cut t-shirts of various sizes in heather grey. Myself or Joe will confirm sizes and quantities in due course.

Many thanks
Chris

Dear brilliant Sponsors,

Here are a few Q&As that you may want ti have ready to hand:

1) Can I drive my car/ van close to the venue? Yes. Please provide details of your car and van, time that you will be arriving. But the easiest way is to enter the park through the Endymion Road entrance next to Oakfield road. There is a gate we have the key for that we can open to allow your vans in and out which can then be driven down to the bridge in CF which is c. 350ft to the pitch
2) How many toilets are there that our people can use? There will only be two toilets. There is a pub closeby called the Finsbury Arms that may allow us to also use their facilities.
3) What time can I get there? I am aiming to be at the venue for 1400. Sponsors can start arriving from after 1400
4) Is there a PA system that we could use? No, we will have to use our own 1000watt speaker. We are expecting between 550-900 people - 1000 watt speaker will be a challenge but we have used it before. Please keep your speeches to the minimum.
5) When am I expected to say something: 1) The up - Bluestep, 2) The Plate - The Talent Set, 3) The Shield - Production Hub 4) Bluestep Cup - Bluestep.

Timings will follow.

Leo and Sophia
