Anish let me know the exact locations of these venues that you are going to and I will assist on what is the best transportation to arrive at them.  Also if you can give me approximate times for these trips that would help also

To answer your questions:

I like to put together an internal resume explaining who the group is that is coming to the hotel and just a basic run down of what their daily plans are.  Is there anyway you can answer the following questions, so that I can better prepare my staff?

KYAA who are the attendees, and why are they in San Francisco

KYAA stands for Young Knanaya Young Adult Alliance.  The Knanaya people are a religious group from Kerala, India, a subgroup of the Syrian Malabar.  With an estimated population of 252,600 (2001), they are of South Indian culture and Syriac Christian faith, with some Jewish elements of culture and religion.

The attendees of this event are young adults between the age of 24 and 35.  The purpose of this event is to network with each other and perform some community service to communities we live in.  Recently we had a huge convention in July that drew approximately 5500 people.  The convention was at the Gaylord Texan.  See website below for details.

http://kccnaconvention.net/index.php

We meet at different places throughout the U.S.  the last few locations include Flordia, New York, New Orleans, and Las Vegas.  We picked San Fran because it is very vibriant spot that we have not yet met at.

Arrival/Departure - individual or group arrival and if group what time?

We expect people to arrive around 2pm Friday and Leave at approximately noon Sunday.

Friday will be Icebreaks and nightclub

Saturday will be a volunteer event, alctraz trip, and night life

Sunday will be Prayer at church and good bye brunch

Is the group on their own for daily and evening events or are there scheduled events.  If so what are those events and do you have planned transportation for them.

We have planed locations for Brunch and Friday night dinner, but people are on there own for Transportation and other food.  Can you help with this?

Thank you so much for your time and I look forward to welcoming your attendees to our award winning hotel.
