Kali, here’s my thoughts:
One of the problems with keeping people engaged with the CAB is having meetings where nothing really happens. I’m not clear what needs to happen at your proposed meeting that can’t happen via an email discussion. I know that some people prefer getting together in person, but a lot of people don’t.
Brushing off my own cobwebs here: As I recall, some designated CAB members began meeting last August with some designated board members to try to better define the role of the CAB and its relation to the board. After a couple of meetings, we suspended that effort in favor of allowing the CAB’s role to be defined via the strategic planning process. Tony and Kali then began participating in the design of the strategic planning process as CAB representatives.
From Tony’s email, it sounds like the CAB will have a short-term role in the strategic planning process, even if its long term role will not be defined until that process is complete. It also sounds like some discussion of the CAB’s long term role has occurred as well. I’m still not clear what we need to discuss at a meeting and when that needs to happen. For example, do you want more opinions on how the CAB should participate in the planning process? Do you want the CAB to respond to requests from the planning committee to take on certain tasks during the planning process?
So I think a clarification is in order. Given my schedule next week, I would love to avoid coming down for a meeting. Even if a meeting is a must, I would like more information (including a proposed meeting agenda) and, if possible, an idea of everyone’s thinking at least a few days before that meeting, so the meeting can spend more time on discussion and less on information transfer. If we are going to make it a real CAB meeting and not just an informal get-caught-up, I think we need to more lead time to call members, announce it, etc.
