Position:
Executive Assistant - West Division

Reports to:
Peter Lougee - West Division President

Job Summary:
Performs a variety of executive and administrative duties for the Division President and other assigned Regional support staff members.  Coordinates and manages projects to ensure efficient operation in the Region/Division.  Regularly works with and has access to information of the most sensitive, highly confidential, strategic and critical nature.

Job Requirements:
  • Minimum 5 years experience supporting senior executives, preferably in an environment involving confidential information.
  • Associate Degree or Business School Training or equivalent is preferred.
  • Proficient MS Excel and MS Word as well as some experience with MS PowerPoint.  
  • Strong organizational skills and detail-orientation with ability to handle several projects simultaneously.  Excellent verbal and written communication skills.

Responsibilities
  • Performs advanced and confidential administrative duties requiring broad experience, skill and knowledge of established policies and practices.
  • Composes routine correspondence, memoranda, reports and prepares presentation materials which may require a high degree of detail. Organizes, prepares and reviews administrative reports and prepares reports for presentation.
  • Screens telephone calls and visitors, and resolves routine and some complex inquiries.  Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements.  Anticipates and prepares for schedule conflicts and takes pro-active action where necessary.  Frequently uses prioritization and problem-solving skills.
  • Regularly handles diverse matters, which require extensive knowledge of the executive’s area of responsibility. Comfortable working in a dynamic environment and managing changing priorities.
