Had a small meetup of people interested in (un)organizing Kink For All
NYC3 and we made some serious headway. We picked a tentative date of
September 25th, 2010. I contacted The Center, where the first two
KFANYs were held, and heard back this morning that unfortunately they
are already booked for that weekend.

There were six of us, so that seems like a good start. With September
as a goal I think we can plan things out far in advance and really get
all the WiFi and other issues ironed out. We are hoping to get numbers
close to the first KFANYC with a streaming video like KFAPVD.

We are also looking into space at a variety of Manhattan colleges.
Some of us have connections at different schools and so we will be
looking around and getting some prices and information.

The key things to look for being:

- Good stable WiFi
- Low price
- Close to midtown or downtown Manhattan
- 3+ rooms each able to hold 50+ people with a large room that can
hold upwards of 200
- A venue comfortable handling an event that will include adult
discussion and may include demos
- Not having to sign in with ID is a plus

Other locations we are looking into:

Columbia University
Various CUNY schools including BMCC and Barouch College
NYU

Other options might be art spaces, theatre spaces, Harvey Milk HS?

Free spaces would be ideal, but that doesn't seem likely.

We are also doing some discussion of KFANYC3 on Google Wave. If you
would like to be added to the Wave please let me know at
mrjacks...@gmail.com. I also have Wave invites for those who want/
need them.

Later today I plan on setting up a donation button. Just trying to
figure out exactly which PayPal account to use.

Is Google Wave a public medium? If so, why not just make the waves where you're talking about KFANYC3 publicly visible? :)

Turns out, after a Google Search of my own, it turns out Waves can be "public" (i.e., can be joined by any Wave user).

Looks like people in DC already have a public KFADC planning wave. Making KFANYC's wave public would remove the bottleneck of adding users manually. Please do this. :D

Hey,
Superduper cool to hear that the next NYC KFA is in the works! I had such
fun at the NYC ones, I'm really looking forward to the next!

Just wondering - what are the advantages to using Google Wave for planning?

I myself am not a Wave user, and am in fact very slow to pick up any new
technology. I'm also a little iffy about Google Wave, especially if the
Wave itself is nonpublic (May's e-mail seems to indicate Waves can be
public or private). If most of the planning goes on via a private Wave,
that means it's in an invite-only thread in an invite-only technology. New
people may not know how to get themselves invited - or even that they need
to do so in order to find out what's going on.

I question it in part because I know that previously unknown voices have
been INCREDIBLY helpful to past KinkForAll events. If all of the planning
had been in Wave or something similar, we would not have been able to have
such an outpouring of help for KinkForAll Boston when we lost the first
venue - that came almost entirely from people who had been following on
the mailing list, but had been silent up till then. There's no way of
knowing whether they would have taken the extra steps to sign up for a
Wave. I worry that this doesn't leave enough room for people to watch from
the wings until they feel comfortable joining up.

That said, I really am not knowledgeable about this technology - it might
have huge advantages over the e-mail list. Please let us know what we can
look forward to with Wave-centric planning!

Looking forward to it!
Emma

We are using Wave for fast paced back and forth communication about
KFANYC3, I will be posting the conversations to this list every couple
of days and anyone can reply to things brought up on the Wave here.
Also, as I said, I would be happy to provide anyone who wants one with
an invite. Google isn't very timely with the delivery of invites,
sadly.

I realize Wave may not be ideal (at this point) for planning an event
that has a need for transparency. Do people think we should not use it
at all?

Just wondering,
Jack

Current Wave:

KinkForAll NewYorkCity 3 (Prelminary Planning)

Feb 25
Viviane:

Trying to get some dates together for a preliminary meeting:

Friday March 5th
Wednesday, March 7th
Wednesday, March 10th
Wednesday, March 15th

Feb 25
Jack Stratton:

Time? I work until 8 most weekdays, so other than being late, those
two Wednesdays should work for me.

Any thought of a working brunch some weekend?

Feb 25
Viviane:

Yeesh, copy and paste doesn't seem to work in Firefox? The only person
who didn't like weekends was Sara Eileen. If it's brunch I could do
Sunday, March 14th.

Feb 25
Stacy C:

Yay! I got a Wave! :)

I can do brunch on the 14th, as long as it is not too early.

Feb 25
Avatar:

For working brunch, Sunday, March 21 would work better for me. (just
saw that Viviane's gathering is on March 21)

I prefer to do weekdays. I get off work at approx. 7pm.

Mar 1
Viviane:

So, how about Wednesday, March 10 at 8:30?

Mar 1
Jack Stratton:

Works for me.

Mar 1
Smalls:

I can do the 10th at 8:30pm. Where should we meet?

Mar 2
Avatar:

The 10th is also fine for me.

Mar 2
Avatar:

Oh, and John/McSpanky told me that he'd also like to volunteer. Is the
volunteer recruitment still open?

Mar 2
Jack Stratton:

Really all who participate are volunteers. Anyone who wants to help
(un)organize is welcome at any and all points of a KinkForAll!

Mar 2
Stacy C:

I can do the 10th. I have class at 8am the next morning, so I hope it
does not go too late :)

Mar 2
Stacy C:

Since I calculated the cost, we might be able to get Joria studios for
$902 (assuming we can get all of the space and the cheapest rate

Mar 3
Jack Stratton:

We can talk about it more, but has anyone looked into any educational
sites or other free/cheaper places? Joria doesn't seem as large, nor
as politically paralell to KFA as The Center was.

I would say that The Center would be #1 with anything cheaper or free
being next up.

Art spaces? Which universities have good Sex, Gender Studies, etc
programs that might hold sway?

Mar 3
Smalls:

How about getting CV to access Columbia space? As a student group they
probably have a cheaper in than KFA. Depending on our tech/space needs
I might have another space in mind, but it's on the smallish side. At
best, with the whole space, there'd be only a handful of separate
spaces.

Mar 4
Jack Stratton:

I remember people voiceing some concerns about Columbia, especially
because of CV and not wanting KFA to seems like a CV event.

I didn't feel that way, but the issue was raised at one point.

Mar 4
Stacy C:

A university may be good, but it would require students. NYU, though,
is pretty closed off to outside groups (requiring a guest list to be
left with security.)

Mar 5
Smalls:

I think KFA is enough independent/recognized that this would be less
of a concern now, but I'm a newbie, so feel free to correct me. CV
would just be the access point and maybe there'd be some folks to help
plan, but less direct the action. We could also look at a CUNY space-
might be cheaper, even as an outside group.

Mar 4
Viviane:

Alright, let's make it Wednesday, March 10th, my place. Don't want to
post my address on this public wave - you can get it off the 3/21
Evite.

Mar 9
Avatar:

I have volunteer work until 7:30pm that night (Financial District) so
I'll be there approx. 8pm

Mar 10
Smalls:

Are we meeting before 8:30? Earlier is better for me if that is
possible. Thanks Viviane!

Mar 10
Jack Stratton:

I will be there around 8:15. I have a laptop so I can take some notes
to put up on the wiki or somewhere about the meeting, though I'm sure
others will have note taking devices as well.

Mar 10
Viviane:

My cat's at the vet and I'm picking her up tonight. Why don't people
plan on arriving at my place by 8:00. Avatar's down for the count but
I suggested she hang out on the Wave around that time.Sara's out of
town. I've got wireless and can hook everyone in.

Upcoming KinkforAlls:

San Francisco: 3/21/10

Washington: 6/21/10

I am looking at anarchist groups for where they have meetings. :)

Mar 11

Good idea. I've been looking into them, but they are hard to get a

Mar 11

Just sent the Center an email asking about other free Saturdays in
September.

Mar 11
Jack Stratton:

Also, do you think it would be a good idea to copy and paste this

everyone knows whats going on. I don't want anyone who doesn't have
access to wave to feel left out.

Mar 11

I am here on the Wave. Just checking in.

Mar 11

Apparently there are no weekend days that have the large rooms free in
September at The Center.

So are choices are to pick another month or another venue.

Mar 11

Jack, what dates in October are available?

Mar 11
Jack Stratton:

I asked. We will see.

Mar 11
Stacy C:

I sent an e-mail to http://space.brechtforum.org/ . Possibly smaller
than what we are looking for, but I will let everyone know.

Mar 11
Jack Stratton:

Rates for the Center:

11am to 8pm

301

Lerner Auditorium

40’ x 50’

Holds: 210

$85 (x8 = $680)

310

$1400?

Mar 11
Lolita:

BTW 312 is not wheelchair accessable.

Mar 11

Could we also do July? Or did we rule that out? Or even August, early?

Mar 11
Jack Stratton:

I would prefer October, but let's see what everyone thinks.

So I got some leads and contacts at Baruch (which has a very large
conference hall separate from the main campus building), the NYU
Center for the Study of Gender and Sexuality, BMCC and some other
colleges.

I'm trying to work up an email to send each of them describing a Kink
for All in the most diplomatic and non scary-to-vanilla people way.
I'm planning on pushing the "Hey, last one was at BROWN UNIVERSITY!"

Looking for ideas or emails that others have sent out to prospective
venues.

Any and all info is helpful,
Jack

Here's a shortened version of the original email I sent to the Women's Building asking about renting space for KFASF. Feel free to crib anything you like from it.

The conferences we run are rather unconventional, are free to the public, and highly participatory in nature. They are called "KinkForAll unconferences."[0] I was hoping that the Women's Building might provide an excellent venue for one of our upcoming conferences. The facilities I have read about on the "Rentals" page of the WomensBuilding.org website has me feeling very optimistic. :)

What does the process of reserving event space at the Women's Building look like? I would like to learn more and possibly book a few rooms for sometime in the next couple of months.

Not an email to a venue, but here's the email I sent to the San Francisco LGBT Center as well as various other organizations in San Francisco for KFASF:

> To whom it may concern at The SF Center,
>
> My name is Meitar, and I'm writing to you in the hopes that members of your organization would be interested in participating in an all-ages, day-long gender and sexuality conference that is free and open to the public. The next event is being held at the Women's Building here in San Francisco on March 21. Prior gatherings have featured sessions on gender theory, technology, youth sexuality, photography, transsexuality, student activism, sexually transmitted infections, literature, and religion. Every participant is offered a chance to give a presentation, facilitate a discussion, or share something of interest that relates to the intersection of sexuality with the rest of their lives.

Also, have you browsed the archives of this list?[0] I think there are a number of copy-and-pasted emails for prior events. Another thing you can do is crib from the wiki pages about KinkForAll itself, where the language used has gone through many iterations by many people to arrive at where it is now.

Hope this helps,

"10/23 might work….10/17 actually looks good, as does 10/24 and 10/31…

If you need two days in a row, 10/23 and 10/24 is your only bet.

Sundays do require starting as late as 1:30 in one of the big rooms."

That last line has me a bit worried.

I am still feeling out other locations, though I will probably not
work on things in earnest until Sunday.

And ideas is those dates work?

Any more ideas for locations?

I'd say Oct. 23rd. Our preference is for a Saturday versus a Sunday? I
think it was Saturday. The problem with Sundays is that we'd go really
late.

That weekend is Kinky Kollege in Chicago, if that makes any difference.

I was told to give her a list of rooms we want and a date and she will tell us if they are open. Should I just pick the rooms I listed before and ask about saturdays in October?

Yes, I think resubmitting the room you asked for before is a good
strategy. I know that I'm probably not going to be in town Oct. 2nd
(Arse Elektronika). If not Saturdays in October are available, I'd
shoot for November.

Here is the response I got about the Center:

I will crunch the numbers tonight, also I will ask about November.

Hi Jack,

October 23 is the only decent possibility for Sats in October. Here is
what we can get for you:

11-8 in 301
11-8 in 310
11-6 in 101

Either 101 or 301 can be separated by rolling partitions into as many
rooms as needed. But that’s what we’ve got, and that’s the best we’ve
got on a Sat in Oct. Let me know if you want me to hold them for you.

Oh and I asked her to hold it for us.

I have been told by the Center rep that there are really no weekend
days where we could have as many rooms as we had for the first two
KFANYs and certainly not more room. They just have too many meetings
held there now.

So, do we work with what we have or do we find larger accommodations.

I actually think the two large rooms and one small room might work on
October 23, but it is Kinky Kollege and some awesome people who would
like to participate wouldn't be able to.

I sent a letter out to Baruch College, but haven't heard back.

Everyone should ask around about spaces!

I actually felt that KFANYC2 was too spacious.

Having rooms spread across 3 floors made it difficult to move about easily and the room dividers actually caused more trouble than they were worth; they didn't isolate the sound of one presentation from the other and it wasn't clear which part of the room was which.

Consider that it's a lot better to have overflowing rooms and a standing-room-only kind of situation than an empty auditorium. For lots of reasons. :)

My 2¢.

I tend to agree with May on this. Two large class rooms would be great (301 and 101) and then one smaller one for more niche topics may work very well. I also agree that a crowded KFA would work better for the feel of the event.

The problem with 5 or 6 talks going on at the same time is that you tend to go to talk you are specifically interested/knowledgeable about. This takes away the aspect of encountering something new and learning about a very different orientation/kink/philosophy/practice, which is very much at the heart of a KFA.

I put Oct 23rd on hold. I also asked about November and I am going to send another note to ask about August as well.

I think that 301 and 310 would be better than having two rooms on two different floors.  While it would not be ideal, I think splitting 301 into a larger space and a smaller one would work better than having three different rooms on different floors.

So, 301 (Lecture Space), 301 (discussion space), and 310(Lecture Space) would work.  But, it means that we have just 3 talks and just two rooms.

One of the things we discussed is that by starting this far in advance, we could make KFANYC3 larger than the previous ones.  We could get 101 as well, but, I agree with Jack and Maymay, having fewer talks (in larger spaces) might be better.

Thoughts?

IMHO, rooms on different floors is the lesser issue than one large room with do-nothing dividers and a terrible echo. :) Who ever heard of *everyone* being "on time" for the start of a KinkForAll time slot anyway? :D

If there's motivation to specifically try for larger participation numbers but the venue's room availability is being troublesome, have you considered the possibility of getting only 1 large space or possibly two close together and then several (like 4 or 5) smaller ones?

At this point, the Center is the only place that is 1) receptive to the idea of kinkforall, 2) does not have issues unrelated to the conference subject, 3) is within the realm of financial possiblity, and 4) has gotten back with us.  We have a few feelers out to other places, and are waiting to hear back from them.

Jack, how long can we keep rooms on hold?

Also I was just told that 8/21 has rooms free. Three rooms, one of the
large rooms, but all on different floors. How does that date work for
people?

Stacy - I think we can keep the room on hold for a while. They haven't
gotten back to me on that.

I've been dealing with booking space for a Lesbian Sex Mafia workshop, and came across the NYC Dance Spaces site:

I remember when it was being set up, and it now a huge list of many different kinds of spaces. I don't know if they would be amenable to a KFA event. When I called a few spaces, I explained that we were looking for space because we were closed out of the LGBT Center, where we usually hold classes.

I have some contacts in NY who rent dance spaces. If you need a direct contact, let me know and I'll ask my friends in town if they can put you in touch with someone.

I;ve actually held off on participating too much this time around,
because of some personal family issues which keep me from being too
involved - nothing kink related - more school and discrimination related
(though the principal had the nerve to tell me my autistic child was
"emotionally disturbed because of his family structure" - and that he
"grew out" of his Asperger's syndrome/ASD - and had him taken out of the
school in metal handcuffs by police/school safety agents and sent to
what the principal thought was going to be a psyche ward.)

But I digress (probably because my life is all consumed by this, and an
upcoming possible $4m lawsuit regarding it)... KFANYC2....

Yes, I felt it was too large - but this is coming from an Aspie who has
major sensory issues to begin with AND a physical disability - almost
anything seems too large for me, but I didn't like to really leave the
one room unless I had to, and finally I just gave up - and tried to find
somewhwre to lay down - I think if it had been in one or two rooms on
one floor, I would have been a lot more comfortable/able to participate
in more.

Even with elevators, getting around in the Center is difficult when you
have a fatigue disorder.
