Good morning, editors!

As International Convention fast approaches, I am in the process of completing my committee work for the year.  In developing new Key Solutions to assist future District Editors, I decided to reach out to those who know the position best--past Editors--for feedback.

The new Key Solutions have been designed using the newly revised Distinguished Editor criteria, which will be put in place for the 2013-2014 Key Club year. (See a comparable sample section of the Secretary Key Solution below.)

Editors, I need your help to make these Key Solutions as accurate and helpful as possible.  If you could please send me any knowledge that you gained as a editor which you would like to impart to future editors by Saturday, June 30, that would be absolutely fantastic.  Thank you so much! =)

Sample Key Solution Section
Topic: Correspondence
Board Correspondence
I. Distinguished Secretary guidelines: Produce and distribute, via the postal service or email, at least ten formal communiqués (flyers, newsletters, letters, diagrams, etc.) for District Board members. The following are to be taken into consideration. (100 points maximum)

a) Observation of graphic standards (10 points)

b) Content—All content need not appear in every publication; points will

be awarded as long as each content point is distributed four times, but

no more than once per publication. (70 points)

(1) Role of club secretary (i.e. general correspondence and minutes)

(2) Club roster collection

(3) Upcoming District events

c) Timeliness of covered materials (15 points)

d) Spelling/grammar (5 points)

II. What it means: As a Secretary, you’ll need to develop updates and resources for your board.  Many Secretaries work best with the familiar layout of a newsletter, but we designed this criteria with your creativity in mind; we want you to branch out to meet your boards needs in whatever way possible.  For example, you may want to organize a District event calendar on Google Calendar to keep your Board informed by automatic email reminders rather than the traditional “Mark Your Calendars” newsletter section.  These emails would constitute your requirement for informing your District of upcoming events.  Keep Graphic Standards (http://www.keyclub.org/fad/cm/gsm.aspx) and professionalism in mind at all times.
III. Tips:
  • Keep your board interested.  Try to create publications that you would want to read.
  • Use a standard format for similar publications.  This will help you brand yourself and portray the image of an organized, consistent you and and an organized, consistent Key Club International.
  • It really is important to us that you follow graphic standards as closely as possible, despite the occasional annoyance that they may present.  Graphic standards are an important tool used by Key Club International to “brand” our organization.  We want more Key Clubbers to visually identify our resources with Key Club due to a standard format and more non-Key Clubbers associate Key Club with our images, colors, and fonts (for example, the pencil and Century Gothic font.)
  • Don’t forget to proofread!

Hey Rebecca,

I would love to do whatever I can to help with your committee work! Here is one tip I have for future District Editors:

"Divide and Conquer" - When working on your district's newsletters, or any Key Club publication for that matter, don't be afraid to ask for a little help. Your fellow district board members, administrators and so on are there to help you. Divide up articles and assign them to board members to ease the load, so when it comes to putting together the final product you aren't left writing everything on top of creating the look and layout. Together you can all conquer the massive amount work through managing your time, energy and showing your love for this organization that goes into each Key Club publication.

What great advice!  Again, thank you so much. =)  This will be a huge help!

I do have one more question for you, though.  Will you be at International Convention? =)
