Ms Esther Josias is a Manager and Facilitator at Pd’é. She also facilitates workshops for Staff Training and Holofelang. Esther is a part-time lecturer in Management at the Tshwane University of Technology, Polokwane Campus. She has a Masters in Business Administration from the University of Limpopo, which she obtained cum laude. She has been involved with the training of office professionals since 2008.

Ms Annelize Ziehl-Owens studied B.Comm (with law subjects) at the University of Stellenbosch. She worked as a Marketing Advisor in the Corporate Sector from 1996-2004. Annelize has a passion for clothes and make-up and was trained at TheMake-up School, Cape Town in 2004. Upon completion, she started Glamour to All, which is a styling business. In 2009, she completed The Chata Romano Colour Training course.

Mr. Thato Mehlape received his diploma in Software Engineering from NIIT (National Institute for Information Technology) in 2004. He joined ATTI (Advanced Technical Training Institute) as a junior trainer inn 2005, where he offered Basic Computer Concepts to first year students and Corporate Office to various government departments. Thato moved to SITA as a Systems Trainer in mid-2006, where he worked until 2008. He is currently with Vodacom as a Senior Training Officer, focusing on Soft Skills and Data training for Sales Consultants and Call Centre agents. He completed his OD ETDP through Edutel as well as the Comptia A+ course earlier this year.

Aim:
To enable the learner to prepare for, take and distribute full and professional minutes.
Contents:
Understanding the role of meetings
- What a should meeting consist of and what it should achieve
- Special types of meetings and the role of the secretary in the meeting
- Familiarising yourself with the language of meetings
Organising an effective and productive meeting
- Sending out the Notice of a Meeting
- Suggestions for more productive meetings
- Checklist of arrangements that need to be made
- What you should take with you and where you should sit
Preparing a working agenda
- The objective of an agenda
- Standard sections that need to be included
- Headings and attachments that get people to think and prepare for the topic
- Clearing the agenda prior to sending it out
- Utilising agenda formats available in MS Word
The procedure during a meeting
- Check attendance, read previous minutes, motions, discussions and agenda points
- Call in guests or specialists, brainstorming and idea generation, voting and decision-making, summarising and setting future dates
Identifying the type of minutes you are expected to take
- Verbatim Minutes - word-for-word
- Resolution Minutes - formal type meetings
- Narrative Minutes - telling the story of the meeting
- Action Minutes - for working groups, etc.
