Dear. Officers,

I apologize that I have not been active last 6 months or so. And appreciated very much for being secretary in stead of me while my absence.  Will attend the meeting and contest tomorrow and hopefully next month as well. (I might have to travel again) I am uploading all the minutes to homepage today. Hope I can recall how to do it. 

I would like to bring one of my colleagues who is interested in our club. Her name is Feiman Xu. She will be joining us tomorrow morning session. Hope this notice is not too late for welcoming her tomorrow.

Dear former SAA, Secretary and experienced officers.

Hope you all are doing well.
Today I would like to ask you some advice on ordering the goods.

I and secretary TM Okada are currently working on to order the goods for new fiscal year.
As we talked with the former SAA and secretary, we found there are no goods list to check(備品チェックリスト). 

So we decided to make one to easily check which items we have to have and what the right number to order.

I listed up the goods as much as I can come up with. ( seems like not so many...?)
Could you kindly see the attached list and let me know if I am missing any goods? 

Do we have to order some specific goods in a case of contest too?

Once the list is made, I'll check the number of stock, then secretary will order.

I would appreciate if you could take a bit of time of this regard.

I think it is a very good idea to make a list.

As for the items, I think I don’t have anything to add, but we might want to consider to purchase the legs for the flag, since it is broken. This is a one-time purchase, so it’s a little different topic, though.

That's right, it's broken.. The banner stand costs $110, so I'll discuss with other officers from a budgetary standpoint.

Thank for your concern.  Actually the life in a corset is tight, though I have little pain on the back.

Let me tell you about the procedure of voting for the Best Speaker and The Most Improved speaker.

TM Yamanaka,

According to the list last year, the list starts in June, not July.  Is it right?

As for the trophies, we have to ask HQs to inscribe the winners names.

According to the list for voting last year, June is the first month for listing.

Therefore, I can finish making the list just after prepared speeches has all done in May.

I'm planning to add the prepared speaker names on the list I'll prepare on the very day of May meeting and ask members to vote at the end of the meeting in May.  

After that, I have to send email the absentees asking to vote.

I’ll let Officers know the winners as soon as I know the result of the voting.

Please order the trophies and ask about the inscription of their names.

The winners will be announced at June meeting.

Ordering trophies may be late May or in June, I hope.

Is it OK to order things after we know the voting results?

May Meeting :
- Discuss the need of banner stand
- Check the budget
- Check the stock

After May meeting (End of May or early June) :
- Check the name of winners
- Order the goods
