Google Meet and nicknames

Hey folks

Our teachers want to setup a schedule of office hours each day.

Can this be done without allowing students to join the Meet until she does?

Trying to come up with a best practice for establishing office hours using Meet but only accessible when the teacher is in the room.

If they use Google Classroom to set up the Meet, they can then toggle the meet on and off when they need it.  Check out Eric Curts on Ctrl+Alt+Achieve Youtube channel for how.

We had the issue where people were using the Calendar link for a Meet early on in our remote learning transition, and this was causing the known issue where students could go back into the room. We also ran into the issue where the url for a nicknamed room would expire shortly after the room was left empty, so staff would use the Calendar link because it would work to share the link in advance and it wouldn’t expire.

Long story longer. Our network architect created an extension that helped with the issue. It doesn’t allow students to enter an empty Meet room. This helps make sure no matter how the link was created, even permanent Meet links using Calendar, the students can’t go back in after the teacher leaves and use the Meet room without the teacher present. It also removes the option for a student to invite other people to the Meet room.


Couple quick caveats. This won’t work if students are using personal devices unless they have the extension installed. We pushed this out to all of our student devices, and we recommend to parents that students use their district-issued devices for this purpose. 

This won’t allow students to use Meet for student-only collaboration, which some districts want to utilize. If that’s the case, you won’t want to use the extension. We are a PreK-8 district, so this has helped us out tremendously with the students joining Meet rooms that have permanent urls.

So, here's what I'm thinking....


Scenario....

Students are not permitted to start a meeting.

Mrs. Smith starts a meeting with nickname "JSmithOffice"

She send the nickname to students and tells them to use this nickname for access to office hours each day

Office hours are 10-12

At 12noon she makes sure all students are out of the Meet and ends the meeting.

Tomorrow, she starts another meeting at 10am with the same nickname as she gave to students.

Each student joins with that same nickname.

At 12noon, the meeting ends......rinse and repeat each day

The students use the same nickname to access office hours, and the JSmtihOffice meeting is accessible ONLY when the teacher starts that meeting with that nickname.

Do I have that right??
