We're still using Postini (we received an extension) but we will have to switch soon. The filtering settings within the dashboard seem to confuse me a lot more than in Postini.

An email address keeps getting stuck in the Postini (this Web traffic admin at advertise-bz email). I want to add this email to a "blocked" list of incoming emails. I see there is a "Spam" section in the dashboard but this seems to be the section to ALLOW email addresses.

Where do I enter in the email addresses I want to BLOCK? On the other side, where do I put the "white listed" emails - is it in the Spam area? I looked at adding an email to the white list but got a bit confused with the lists..I thought I was adding an email, but I was really adding/naming a list..and now I don't know how to delete or edit that list name.

I'm sure this is super simple but could someone maybe take a simple screenshot of the settings for a blocked incoming email and an approved incoming email?

Thanks!

Melissa,

You just want to go to the "Blocked senders" section when adding a filter.

Once there, section 1 is where you add the blocked addresses and domains by creating lists and adding addresses and domain to the lists.  See image below:

Inline image 1

Then in section 3 you can do the same to whitelist addresses and domains.  See image below:

Inline image 2

If you need to delete a list, just hover your mouse over it and you will get the "Hide" and "Delete" options.

Let me know if you have any questions about that.

Ahhh! So, section 1/2 are completely separate from section 3. I thought all of those options were for the same lists and dealt with blocking...where section 3 is actually "approved senders"...seems confusing to me!

Do you use these types of filters? What is your practice of setting blocked filters, approved? Do you do EVERYTHING in just one filter? I'd think I'd want to have separate just so it's easier to see..

So, what's the point of the "Spam" filter?

thanks!!

Yep, that screen is not set up very well.

As for the "Spam" filter option, it is not to block messages like the "Blocked Senders" option.  All the "Spam" option does is to take domains or addresses you specify and allows those to not be scanned for spam, therefore always delivering them to the Inbox instead of having the option of getting marked as spam and going to the user's Spam folder.

What used to be the Quarantine in Postini is now just the user's Gmail Spam folder in the new Google Apps Email Security.

So, "Blocked senders" controls whether a message ever makes it to the recipient at all, while with the "Spam" option the message is making it to the users, but you are controlling whether it might go to the Spam folder or not.

As for best practices for using the "Blocked senders" filters, we really have not had much reason to use them, so I don't really have much advice there.  Multiple block lists would be useful though if you have a lot to block and wish to put the domain and/or addresses into easily identifiable groups.  For example, you might block someone's address at one point in time, but then forget why they were blocked a year later.  By naming the groups they are in, you might be able to organize them better.

Awesome, thanks for the clarification. I'm sure I'll be back later for some more filters questions, you're very helpful!

I have used this tool to block spamming domains.  I doubt we would ever get a legit email from a domain such as rupto.ru or drycleaning.ie

I've added the address no reply @ turnitin.com to the approved sender list --> blocked senders/ section 3, added a list which included that email address. So I removed it from the "approved sender" list in Postini, to begin moving stuff that I can into the dashboard.

We're still using Postini for language filters because there is no quarantine area to evaluate emails and send or reject manually.

Anyways, an email from that exact email was stopped in the quarantine, even though I added it into the dashboard approved senders. Do you think I added the email wrong or it got stuck because I'm still using soem filters in Postini?

If you still have Postini active (not in pass through mode) then the email has to get processed by Postini first before it gets to your Google Apps email filters.  So Postini caught and quarantined that message before it ever got to your Google Apps email filters to get white-listed.  For now you will need to leave that address in the Postini approved sender list as well.
