With the weekend of Oct 26th coming up soon and with me and Sumedh being the good bartenders that we are, I would like to get the ball rolling and take any special requests for specific drinks, alcoholic as well as NOT-SO alcoholic aka wine. Sorry, NON alcoholics, suck it up and go with the flow and get in on the good times..

We already have some specific requests for Moscato, Jagermeister. We will sure cover the regular stuff like whiskey, vodka, and so forth..

Okay Okay, non-alcoholics, get in your requests as well.. We will try to cover it, budget permitting..

@Atul, Thanks for sending in the wish list, others please do so soon to help TadiMadi team to organize the liquor and no-liquor stuff timely.

 

Also writing again as some emails were not floated correctly to all yesterday."Tadi-Madi team please also arrange for other non-sodas and juices etc. Please coordinate with the food teams or they may throw out their soda and juice lists on the common email chain."

 

That way all beverages are ordered and controlled by one team.

 

Request all teams to please keep receipts for all expenses handy. If any team or any one needs funds before hand, please feel free to point out and I will arrange to do so.

 

Since we are closing down to 26 members on a fair estimation it was being discussed as 8 cars would be an ideal requirement. That is taking 4 pax per vehicle, which would be 4 persons per car and luggage and other items etc. allocated in each vehicle.

 

Keeping this and many other logistical issues and considering the strength, it would be ideal we start meeting by 3pm on Friday 25th  to help organize the allocation so we can all leave on time by 4 pm as its a 4 hour drive. (see detailed activity time-table in next email)

 

I think it would be ideal to meet at KNAV House 3731 Lakepass Lane, Suwanee. Please make arrangements and timings to be there on time.

 

We will start sharp at 4pm,  no compromises given the strength of the team very important to respect timelines. If anyone has work issues or difficulties meeting the timeline request we keep our work places informed well in time from now. I am sure we all would appreciate that given the size of the group adhering to timelines is a must. Nevertheless, if anyone for any solid reason feels he or she may not be able to make it to the given time, please let know in advance so we can work out the plan accordingly.

 

Given it gets dark there in the mountains by the time we reach, and the difficulty in the ride on the mountain tops by the end of the destination, it is advisable we all work this together and leave together besides that would be more fun as well.

 

The drive time from Atlanta to Gatlinburg is approx. 4 hours 10 minutes under normal traffic conditions, taking the scenic route

 

FROM ATLANTA, Georgia - Take I-85 North to I-985 North to US 23. Take US 23 to Highway 23/441 to Highway 74/441 through Cherokee, North Carolina to Gatlinburg. Approximate drive time from Atlanta: 4 hours 10 minutes

Given it is Friday evening chances are we might hit some initial traffic in beginning thereby delaying the time to may be some 30 minutes. This should mean we would reach Gatlinburg by 9 pm max with one break of 30 minutes max in between for refreshments etc.

 

The short refreshments break would be taken around 6pm (details of exact break point to be rolled shortly with the time-table as mentioned above) for freshening up, refreshments etc. (Refreshments are being organized by the Ghass-Phoos Cows team).

 

Deepa is getting Indian tea in a flask good to give a cutting tea to may be 6-7 members. Advisable if anyone has flasks and can arrange for tea please coordinate with Deepa separately.

 

Also followed would be an email tracker for all teams to keep track of members, and quantities and categories needed (veg/Nonveg, drinks etc.) please use same for referral and planning as well as people expected to get cars. Any one with difficulties please feel free to let know in advance as this was only an estimate and best judgment for all purposes.

 

Last but not the least I have prepared a preliminary budget and would roll for all teams to stay within budget to meet the costs of the trip. Doesn't mean this is a parameter but staying within the budget would help keep the costs within range.

 

Please feel free to throw thoughts and ideas as well as changes if needed.
