Today at our CLT meeting (notes coming later from Ole) we brought up the subject of an acceptable use policy for all *.joomla.org email accounts.

.. though perhaps a lot smaller, just listing some guidelines.

Perhaps this Email address acceptable use policy could be added below the Joomla Code of Conduct in time as well.

In any case, this is us/me looking for one (or two) volunteers to help draft up a small/brief easy to read/follow policy in this regard. Any takers?

Is there an ongoing issue or just a safeguard?

No issues.

We just *should* have some usage policy ;)

Any updates here Claire? Do we need to find someone else with some
time to work on this?

Ok, Brian came up with the following:

Acceptable use of your *joomla.org email address.

You have been issued with a *joomla.org email address to assist you in
your role within the Joomla project. It is a privilege and not a
right, please do not abuse it.

Your *joomla.org email address is provided solely for use when
communicating on issues directly related to your role in the Joomla
project
Your *.joomla.org email address is at no time to be used to conduct
personal or business emails
Your *.joomla.org email address should not be used when registering to
any service or web site unless it specifically relates to your role in
the Joomla project
All email sent or received to your *joomla.org email address is
confidential information and is not to be shared.

Any comments and suggestions? I guess the next step would be to run
this by OSM as we did with the Code of Conduct, and then once that is
done, make it happen.

I think this is a good start, seems reasonable.

This line is not clear enough.

"Your *.joomla.org email address should not be used when registering to
any service or web site unless it specifically relates to your role in
the Joomla project"

Where is the line drawn and who draws it?

"Does it relate to your role in the Joomla project?"

Do you think that is difficult to determine?

I understand it as following example (and not the way oout there
example so as not to offend anyone)
do not use your joomla.org email to sign up to sites dealing with
hedgehog bolwing or that you would not feel comfortable with your
children visiting

With the new WG team members we are setting up/giving out substantially more email accounts.  Can we raise this one from the dead again and move on it?  :-)

I am still quite happy with this following suggestion (added/adjusted a few things myself):

Acceptable use of your *joomla.org email address.

You have been issued with a *joomla.org email address to assist you in your role within the Joomla project. It is a privilege and not a right, please do not abuse it.
  • Your *joomla.org email address is provided solely for use when communicating on issues directly related to your role in the Joomla project.
  • Your *.joomla.org email address is at no time to be used to conduct personal or business dealings.
  • Your *.joomla.org email address should not be used when registering to any service or web site unless it specifically relates to your role in the Joomla project.
  • All email sent or received to your *joomla.org email address is confidential information and is not to be shared.
  • Misuse of your *.joomla.org email address will lead to your access and email address being removed.

Sounds great to me - how do we apply this?  As in, should we just include this with the emails we send out when passing out addresses?

I like that suggestion also.

For now we could just pass the information on manually to recipients of new project email addresses.  In future though, this could be added to the Volunteer Code of Conduct, perhaps.

If we add it to the CoC page on docs.joomla.org I can email everyone with *.joomla.org emails the update to the CoC. I think having this as part of the CoC is most appropriate.
