Wanted: Full-Time Administrative/Accounting Coordinator

Boutique Ad firm is seeking a full-time Administrative/Accounting Coordinator who will be responsible for the management of firm’s accounting department, HR coordination and office administration. Looking for a fun person with a strong work ethic to enjoy our small office environment.


RESPONSIBILITIES

Bookkeeping & HR Admin:

·      Enter and record client and vendor billing/payment information in Quickbooks.

·      Manage the end-of-month closing process along with our outside accountant.

·      Manage the firm’s internal recordkeeping system through FileMaker Pro, which includes reconciliation of all vendor invoices.

·      Work with Account Managers to produce client invoices and record payments when a project is completed.

·      Manage firm’s daily A/R,A/P and make deposits.

·      Assemble bi-weekly bank balance report.

·      Work with ADP and other vendors for coordination of payroll/benefits.

·      Maintain a record of employee vacation days, collect company credit card receipts, purchase and maintain company equipment.
 

Office Management:

Order office supplies, arrange meetings and food occasionally, answer phone, greet guests, distribute mail & packages, filing, oversee office printers and equipment, and other office duties as needed.

 
SKILLS & QUALIFICATIONS:

  • A Bachelor’s degree is required.
  • Previous experience in an administrative related position.
  • Strong working knowledge of accounting practices and procedures.
  • Initiative and ability to do job without a lot of supervision.
  • Desire to understand our business (from an accounting perspective) and be part of the team.
  • Business hours 9am – 6pm.
  • The ability to maintain confidentiality is a must.
  • Must be detail oriented and incredibly organized.
  • The ability to successfully manage workflow in an organized and timely manner.
  • Prior office experience and a working knowledge of Macs is preferred.
  • Familiarity with Quickbooks and Filemaker is also preferred.
