Synergetic Endeavors, a Saint Paul-based firm specializing in Business Development, Fundraising, Local and National Convention Planning & Management, Public Relations, and Political Advocacy, has an opening for an Development Associate /Executive Assistant to join our team. This is an excellent opportunity for an organized, detail-oriented individual with an interest in either the political arena or the private sector.
The ideal candidate will have:
· Good written and verbal communication, administrative, and organizational skills with superb attention to detail.
· The ability to maintain a realistic balance among multiple priorities and work independently on projects from conception to completion.
· The ability to handle a wide variety of activities and confidential matters with discretion.
· Experience completing a broad variety of administrative tasks for an executive.
· Proficiency in Microsoft Office tools (Strong experience with Excel, PowerPoint, Word, Outlook, and SharePoint preferred)
· Minimum of six months experience in the field or in a related area.
· Experience with scheduling and calendar management, drafting correspondence, and travel coordination strongly preferred.
· Bachelor’s degree or equivalent.
· Attention to detail is a must. In addition, candidates for this position should have a commitment to quality work product and the ability to provide excellent follow-through.
Position Description and Duties
Candidates must be able to work in a fast-paced environment and manage multiple projects efficiently and effectively. This position will primarily support the Director of External Affairs on client-related issues, but will also provide additional administrative and logistics support throughout the office, including:
• Staff and track fundraising calls by Client principals as well as Synergetic Endeavors leadership.
• Maintain and update fundraising databases, call lists, and other tracking documents.
• Track and manage donor and sponsor fulfillment.
• Manage appropriate follow up for donors and prospects (Thank you notes, follow up e-mails, etc.)
• Draft fundraising reports for Synergetic Endeavors client projects as well as produce additional written content as needed including company profiles, draft proposals, bios, advance briefings, and other items.
• Apply due diligence to ensure that all documentation is correctly prepared (reports, creating presentations, reconciling expenses, correspondence/communications, spreadsheets, etc.)
• Set-up purchase orders and process invoices as appropriate.
• Manage day-to-day operations of the office, including office inventory, supply orders, office upkeep.
• Assist with scheduling and logistics of executive-level meetings in the Twin Cities as well as throughout the country, including drafting agendas, taking notes/minutes, briefing book preparation, arranging complex and detailed travel plans, research, etc.
• Perform general administrative tasks, including mailings, filing, database updates, printing, and other daily office duties.
• Assemble media and donor kits for events and meetings.
