Job Description:
Position Overview
We are seeking an experienced Email Archiving Migration Specialist to lead the planning, execution, and validation of our enterprise email archive migration from Proofpoint Enterprise Archive to Google Vault. The ideal candidate will have hands-on experience with both platforms, strong technical project management skills, and a deep understanding of eDiscovery, compliance, and data integrity requirements.

Key Responsibilities
Migration Execution
• Lead end-to-end migration of email archive data from Proofpoint Enterprise Archive to Google Vault
• Export archived email data from Proofpoint in compliant formats (EML, PST, MBOX)
• Configure and execute data import processes into Google Vault using native tools or third-party migration platforms (e.g., CloudM Migrate)
• Validate data integrity, metadata preservation, and completeness post-migration
• Perform test migrations and pilot runs before full-scale production cutover
 
Technical Configuration
• Configure Google Vault retention policies, holds, and search capabilities aligned with organizational compliance requirements
• Set up Google Workspace domain APIs and enable Vault-specific APIs
• Configure audit logs, reporting, and multi-party approval (MPA) settings for Vault exports
• Integrate Google Vault with existing eDiscovery workflows and legal hold processes
• Establish access controls, user permissions, and administrative roles within Google Vault
 
Compliance & Data Governance
• Ensure migration adheres to regulatory requirements (GDPR, SOX, HIPAA, FINRA, etc.)
• Maintain chain of custody and audit trail documentation throughout migration
• Work with Legal, Compliance, and InfoSec teams to validate retention schedules and data classification policies
• Implement data archiving policies that meet industry-specific retention mandates (7+ years for financial services, healthcare, etc.)
 
Stakeholder Management
• Collaborate with IT, Legal, Compliance, HR, and business stakeholders to define migration scope and success criteria
• Provide regular status updates, risk assessments, and mitigation plans to project leadership
• Conduct training sessions for end users and administrators on Google Vault functionality
• Document migration runbooks, standard operating procedures (SOPs), and knowledge transfer materials

Required Qualifications
Technical Skills
• 3+ years of hands-on experience with Proofpoint Enterprise Archive (configuration, search, eDiscovery, export processes)
• 2+ years of experience with Google Vault (setup, retention policies, holds, search, export)
• Strong understanding of email archiving architectures, metadata structures, and compliance frameworks
• Experience with migration tools such as CloudM Migrate, BitRecover, or custom scripting (Python, PowerShell)
• Proficiency with Google Workspace Admin Console, APIs, and directory management
• Knowledge of email protocols (SMTP, IMAP, Exchange Web Services) and file formats (EML, PST, MBOX, MSG)
 
Compliance & Governance
• Familiarity with regulatory requirements: GDPR, SOX, HIPAA, FINRA, SEC Rule 17a-4, or equivalent
• Experience with eDiscovery workflows, legal holds, and audit trail management
• Understanding of data retention schedules, defensible deletion, and information lifecycle management
 
Project Management
• Proven track record of managing large-scale data migration projects (100K+ mailboxes or multi-TB archives)
• Strong risk management, issue resolution, and stakeholder communication skills
• Experience with phased migration approaches, pilot testing, and rollback planning

Preferred Qualifications
• Experience migrating from other enterprise archiving platforms (Veritas Enterprise Vault, Mimecast, Barracuda, Archive360, etc.)
• Google Workspace certifications (Professional Collaboration Engineer, Professional Cloud Architect)
• Familiarity with CloudM Migrate, Google "
