Role Summary
UT
Medicine is undertaking a multi-phase Workday ERP implementation. Phase
Two expands the platform to Human Capital Management (HCM), Payroll,
and workforce systems, migrating employees from UT Austin's Workday
environment into a new, independent UT Medicine instance. We are seeking
experienced Workday consultants to support design, configuration,
integration, and deployment of HCM and Payroll capabilities for a
fast-growing academic medical center — scaling from roughly 1,731
employees today to approximately 6,000 at hospital activation in 2030.
Key Responsibilities
- Design
and configure Workday HCM modules, including supervisory organizations,
position management, business process framework, and security, to
support significant projected workforce growth.
- Lead
or support Workday Payroll build-out as a net-new function, including
payroll policies, controls, pay groups, earnings/deductions, and
operational workflows.
- Design HR operating model architecture and data models that scale across multiple growth phases of the organization.
- Configure
and support integrations between Workday and adjacent systems,
including UKG Pro Workforce Management (time & attendance) and the
live Epic EHR environment.
- Support
integration with UT System benefits and voluntary retirement programs,
and with the Teacher Retirement System of Texas (TRS) mandatory
retirement programs.
- Accommodate
academic governance requirements for faculty appointments, including
hiring, promotion, tenure review, and academic-year salary structures,
in coordination with UT Austin's Office of Faculty Affairs.
- Configure
HCM and Payroll to support clinical investigators with blended
clinical, education, and research time allocations, including effort
certification and sponsored research payroll compliance.
- Support
stand-up of net-new HR functions, including Talent Development,
Learning & Development, expanded Benefits and Leave Administration,
and a tiered HR Operations/Service Center model.
- Manage cross-company data flows and seamless processing for employees holding concurrent roles at UT Austin and UT Medicine.
- Partner
with client stakeholders, Accenture project leadership, and other
subcontractor teams to deliver configuration, testing, data conversion,
and deployment activities on schedule.
Required Qualifications
- Demonstrated
hands-on Workday experience in one or more of: HCM, Payroll, Benefits,
Time Tracking, Talent & Performance, Recruiting, or Compensation.
- Experience with large-scale Workday implementations, ideally in higher education, academic medicine, or healthcare environments.
- Working
knowledge of Workday business process configuration, supervisory
organizations, position management, and security frameworks.
- Experience designing or supporting payroll operations from the ground up, including policy, controls, and compliance.
- Familiarity
with integrating Workday to third-party systems such as UKG Pro WFM,
Epic, or similar EHR/time-and-attendance platforms.
- Strong communication and stakeholder management skills; ability to work within a multi-vendor delivery team.
- Ability to work onsite or hybrid in the Austin, Texas market.
Preferred / Nice-to-Have
- Experience with academic governance structures, faculty affairs processes, or tenure/promotion workflows.
- Experience with sponsored research payroll, effort certification, or grant-funded compensation.
- Experience with UT System or Teacher Retirement System of Texas (TRS) benefits and retirement programs.
- Prior experience teaming with Accenture LLP or other large systems integrators as a subcontractor.
- Workday certifications relevant to HCM, Payroll, or related modules.
