Dear all,

As we missed our first meeting date last week, I was about to propose for convening our meeting on Saturday 4 April after office hours (some of the members have office schedule) at a convenient place.

I am sure you have many agenda to discuss such as Bizu sale offer, staff welfare etc . I just would like to propose one agenda that is the procurement of POS/inventory software at the shop so that we can monitor the stock inventory and the profit-loss status of our business. I have attached a draft proposal and plan on this for everyone's comments and consideration. 

Please share your agenda items that should be discussed in the meeting.

Dear Kanchan bhai.

 

Thank you so much for your very timely and appropriate e-mail especially for the accounts of our Joom Super Shop. Pls accept my sincere apologies as well for my delayed response.

 

I do agree with your proposal. In addition, amongst our all staff, specially Sujan deserves to have his monthly salary increased due to his hard work, efficiency and honesty but at the same time I also think that JSS’s accounts should be settled specially on the stock and profit & loss issues before we implement on an increment on Sujan’s salary so that a margin can be calculated over our profit.

 

I have heard that Babudagi is on the way to Dhaka today (Friday) and to discuss our all issues regarding JSS and Bata, an urgent meeting really needs to be held and as per your meeting’s proposed date and time, I am available on Saturday (tomorrow) at 7pm or afterwards though not sure about the availability of Doctor babu (assuming that he should be fine with proposed timing) and you are most welcome to use my office as a meeting venue.

Dear Kanchan bhai,

 

Thank you so much for sending through the attached minutes of our last meeting that was held on the 4^th of April. Amongst agenda wise discussed issues, in the 3^rd point along with Sujan’s salary I would like to propose for an increment in the salary of other staff as well at least by Tk. 200-500 per month (may be already discussed in the meeting) to avoid any dissuasion.

 

In the 4^th point, regarding an appointment of a third person as our Manager to oversee our whole business on our behalves, like daily/monthly/yearly accounts, checking stocks and authenticity in the sale process (whether each of the staff issues cash memos/money receipts), missing items etc, I think it should done immediately. We may request Sujan to perform this particular task as an additional responsibility by offering him extra salary, however, in my opinion, firstly it will be then an extra load for him that may result a dramatic reduction in his efficiency. Secondly, there is a probability that other staff may not care him that much comparing with a third person who would do the task independently. Finally, appointing a third person as our Manager may not only save our time and energy from our frequent physical visits to Khagrachari but also keep us being updated with Bata and JSS’s accounts, stocks etc otherwise it will keep remaining like now and before, having no clue on our accounts and missing stocks.            

 

Moreover, I do agree with all other points stated in the minutes. “Lets utilize the maximum mechanism within the capacity and make the business flourish and successful”.

Belated happy bangla new year 1422! Hope you all had a great bizu!

I think we are still waiting for response and comments from all the member on the decisions made in our last meeting at Kolabagan. Would very much appreciate comments or suggestion, without which we cannot implement the decisions.

In addition, I am writing to get your comment and feedback on a different issue. The IPS battery at our shop needs replacement. We also pay the local generator connection charge at the shops. Instead of replacing the battery, do you all think that it would be good idea to install solar system that can light both the shops? A 65 wat capacity solar system costs tk 24, 000 if paid at once. We can also purchase it in 36 monthly installments.

If we decide to buy it, I suggest to go for  monthly installment arrangement. Because it will not put a pressure on us, and we can get the tehnical service from them when they come to ccollect installment every month.

What do you suggest?

Dear all I would like to inform you that our DPS opened for five years and maturity date is 25/06/2017. As agreed in the meeting, Sujan monthly Salary is proposed to increase Tk. 1000 and it will be effective from July, 2015. Othe staff members who serve for the company at least 2 years, I propose to increase their monthly salary of Tk. 300 and it is effective from July, 2015. I am sorry for delayed response. As I told Kanchan bhai during our phone conversation few days ago, I do agree all points that had been discussed during the last meeting. I did not response mainly because i was present and agreed all points that had been discussed so there is not point to say again 'I do agree'. For sure, I would have responded immediately if i did not agree the issues that were mentioned in the minutes. We are still waiting responses from Kowshik and Banga da who were not present on that meeting. So we need their response urgently. In regards to solar panel, I do agree from the get-go to install it because it is very much needed especially this time in summer and frequent power shortage happen in Khagrachari so it should not be protracted anymore, immediate procurement with installments be done. The issue of point of sale software is still needed to be delved deep into deatils of the software (break down costing, operations and maintenances, warranties, training etc.).
