Position Summary:
The International Guest Coordinator will provide support for the firm’s
International Guest Program. This program hosts foreign trainees from Asia and
Europe to provide opportunities for international guests (IGs) to learn about
U.S. intellectual property law and to develop long-lasting friendships with the
firm. The International Guest
Coordinator will work closely with the Marketing Department and various hosting
partners to ensure that the International Guests are provided for and that
their needs are met.
Essential Functions
Pre-Arrival
Coordination:
- Prepare
invitation letter to IG candidate
- Contact
candidate to determine information needed to obtain correct visa
status. Apply for H-3 training visa
or H1 visa, as needed, with prior approval from partner in charge
- Create
a pending file for proposed international guest candidate; maintain
computer files on individual trainees
- Provide
candidate with housing information for D.C., Virginia or Maryland
- Provide
a comprehensive brochure and informational packet to IG candidate
outlining benefits of Sughrue training program
- Contact
and reserve appropriate housing as determined by IG
- Coordinate with IG to
set up utilities, furniture rental, car rental/purchase
- Provide candidate with
information regarding areas schools (if dependent child is involved)
- Provide comprehensive
breakdown of area surrounding proposed domicile (i.e. Asian markets,
entertainment, playgrounds, etc.)
- Give candidate in DC
area transportation information, as needed
- One
week before arrival date in office, arrange a firm setup for candidate to
include office location, user ID number, billing number, nameplate,
telephone, datawatch card, and computer requirements (including foreign
language software i.e. simplified (Beijing) or traditional (Taiwan)
Chinese, Japanese or Korean)
Retention/Programming
- Put together welcome
package with marketing promotional items
- Arrange a welcome lunch
to include candidate’s mentor and other attorneys and members of the firm
who can help ease the guest’s transition to the firm
- Interview IG regarding
other areas of interest in terms of IP law (i.e. litigation, opinions,
trademark, etc.)
- Obtain arrival itinerary
and arrange for transportation of IG from airport to apartment
- Assist in lease signing,
key pick up and other incidentals once IG has arrived
- Obtain Emergency contact
information and relevant personal information (i.e. cell phone number)
- Assist
in obtaining social security number, drivers license, bank account
- Schedule individual
meetings with appropriate person on U.S., International and PTO
patent prosecution procedures, and with litigation case manager
- Assist in preparation of
application to take the Patent Bar
- Schedule lectures to
assist in preparation for Patent Bar, including coordination of firm-wide lecture
lunches and classroom lectures
- Monitor available
programs for IGs at the DC Bar, Women’s Bar Association, ITC Trial, CAFC
Oral Arguments, ABA IP Conference, AIPLA, LES and INTA Meetings, Howard
University Seminar, Sughrue Lecture lunch presentations, Visit to Supreme
Court, Tour of PTO
- Register for English
classes as appropriate
- Arrange for additional
lectures as determined in previous bullet point
- Arrange outings with
firm colleagues to attend basketball, hockey, or football game, Kennedy Center,
National Theatre, Verizon
Center concerts
and/or Wolf
Trap performances
- Organize
lunch outings with firm partners and associates
- Prepare monthly bills
- Training bills
- Personal (apartment,
utilities, furniture rental)
Development/Client
Satisfaction
- Maintain database on IGs
with updated contact information
- Send holiday
cards/birthday cards to continue relationships with past IGs
- Create comprehensive
business plan outlining short and long term goal for IG program
- Respond
to all e-mails from past IGs to stay in touch with the former guests
- Track
and obtain information on IG’s at other firms (this information can be used by
Marketing as a source of contacts for upcoming firm events)
- Maintain
contact with Guests to determine satisfaction with their training and outings
- Prepare
marketing material for foreign client visitors
- Organize farewell lunch
or dinner for International Guest
- Send Washington, DC
souvenir book for signatures to appropriate attorneys/staff
- Purchase additional
gift, as necessary
- Close
out utilities, arrange furniture returns, track security deposits, bank
account closings

Job Requirements:
Education:

Bachelor’s degree preferred
Experience:
- Proficient in MS Word and Excel
- Previous law firm experience preferred
- Fluency in Japanese preferred
Skills:
- Attention to detail

- Strong computer skills and knowledge of
databases a plus
- Excellent written and verbal
communication skills
