Position Overview
The Coordinator of Member Engagement will have primary responsibility for the administrative and operational support of activities relating to the engagement of members, including membership and regional activities. The role offers the opportunity to contribute to a mission-driven organization while engaging with leaders across the United States and Japan.
Key Responsibilities
Membership
Lead all operational membership activities, including recruitment of prospective members, nominations, invitations to new members, and renewal and retention of existing members, under the supervision of the Senior Director of Member Engagement Respond to member and donor inquiries in a timely and professional manner. Support the Regional Council and regional leaders, including preparing call notes and assisting with affinity group activities. Partner with the Communications team to promote member-led events and share news and recaps for newsletters and reports. Assist in the planning of the USJC Annual Conference Member’s Day, including creating materials and providing on-site support. Database & Records Management
Maintain accurate membership data in Salesforce, including records of member information and payments. Serve as a Salesforce super-user to maintain and improve the functionality and integrity of USJC’s database as it relates to membership. Financial Management
Process member contributions, renewals, invoices, and reimbursements for regional events. Coordinate with Finance and Development staff monthly to reconcile membership and donor contributions. Provide general administrative support for the D.C. office and membership-related tasks across the team. Regional Activities
Support and assist the Senior Director of Member Engagement in the implementation of regional events and activities. Provide technical and administrative support for in-person and virtual events, including logistics, marketing, and financial tracking. Manage event registration and payment links, and address refunds or participant inquiries. Assist regional chairs with post-event follow-up, including reimbursements and event recaps for newsletters and social media. Maintain the regional events calendar in collaboration with the Senior Director and other USJC staff. Other Duties
Provide on-the-ground support for D.C.-based events as needed. Provide administrative support for the D.C. office. Support membership-related activities for TOMODACHI programs and coordinate with USJC and USJC Japan team on member invitations. Assist with technical, administrative and office responsibilities as needed. Qualifications
Required
Bachelor’s degree with 1–2 years of experience in membership, customer service, sales, or related fields. Proficiency with Salesforce, Microsoft Office, and Google Workspace, with strong data management and reporting skills. Excellent communication, organizational, and problem-solving abilities; able to multi-task and work effectively under pressure. Strong teamwork, professionalism, and discretion in handling sensitive information, with the ability to build positive relationships with staff, members, donors, volunteers, and the public. Preferred
Experience with payment processing systems (e.g., Stripe) and event coordination, including virtual platforms such as Zoom. Japanese language skills and familiarity with nonprofit or international organizations. Demonstrated interest in and commitment to USJC’s mission of strengthening U.S.-Japan relations and honoring its Japanese American roots. Working Conditions
Hybrid position in Washington D.C.; will be required to report to the D.C. office twice a week; meet with local and traveling staff and members Occasional evenings and weekends required for events, as well as meetings with colleagues and members in other time zones. Requires a strong, consistent, and reliable internet connection and be able to establish an appropriate work environment within his or her home for work purposes. Some travel may be necessary.
