Dear Jure,

Around the summer we were in contact about the possibility to visit one of our events. Our next big event will take place during the week after Christmas and around New Year. Already in June you indicated that you would probably not be able to attend this event, but you can spread the info to your fellow Board Members. Therefore at this point I will give you detailled information about the event. I hope you can discuss it with the board and hopefully one of you has a chance to visit us.

The event is called Youth Esperanto Week (Junulara Esperanto-Semajno, JES). It's organised in cooperation by the Polish Esperanto Youth, the German Esperanto Youth and TEJO. 
Dates: from the 28th of December until the 4th of January
Location: Szczawno Zdrój, Poland (65km south of Wroclaw)

For other point, I adapted the text from my earlier email from June:

- Travel costs
TEJO can cover fully your lodging and food costs during the meeting. We have limited possibilities to cover travel costs. Is it maybe possible that YFJ would cover such "representative" travels of the board members? Do you have an estimation of your travel costs?

- Your contribution
We thought of two possible contributions to the programme. 
The first one could be a general presentation about the work YFJ is doing in the field of European youth policies and the chances it offers to a large number of young Europeans either directly or through the work of the many INGYO's and NYC's. I assume YFJ board members give this kind of presentation more regularly and I'm sure there's a lot of useful information in it for our members.
The second contribution could be participation in a discussion round. As you know our main fields of action include language equality and discrimination related to international communication. We would be happy if you are willing to discuss with our participants how this issue is currently treated within YFJ and in a broader perspective in international youth work. We feel that many organisations, though claiming to have inclusiveness and equality as spear points, don't realise that limiting the international work to only English excludes and creates discrimination affecting many (50% of current young Europeans doesn't speak anything but their mother languages). To facilitate the discussion, we can provide you with some theses of the debate about two weeks before the event, for which you can prepare your arguments.

- Language
As we are very well aware in our organisation, any event where people from more than one language background meet, requires some conscious decisions about the languages of communication. The default language in our events is Esperanto, but we don't want to force you to learn that until fluency before New Year (though it wouldn't be impossible with enough will and effort ;) ). 
During your contributions we can arrange people that will translate between Esperanto and a language the chosen board member prefers (native speakers from almost any European Language will participate). Regarding the presentation, it would be good if you could provide us with the slides and some notes a bit before the event, so we can make hand-outs translated to Esperanto to help participants follow it. During the following questions and answers, people can translate at the spot. Also during the proposed discussion, people will be there to translate for you to and from Esperanto.
