Hello All,

I am writing to update you on some information and some tasks that we need to start dealing with. I will continue with this practice of writing to the EC, as it will be quicker than waiting for meetings and other office bearers ,if they like, should do the same. If we feel that something needs discussion verbally, we can call, or talk at the meetings.

  1. LOGO USE I wrote last time about the use of IUDI logo in the emails for some consistency and visual brand promotion. At an informal discussion with some local chapter people here, we felt there was need for some guidelines for the use of the LOGO in posters, banners, publications, mails etc also. So, Anamika from the IUDIDNCR has volunteered to work with the original logo designer to get a set of guidelines out. These will be distributed to all chapters in usable digital formats. The email footers etc will also be sent out at that time for use by the office bearers in their communication.
  2. WEBSITE. I was thinking that the website should have a link to all the centres, who should be encouraged to develop sub sites within the main website. Since a lot of activity ( I hope ) is going to happen at the center level, this could become a forum for everyone to be aware of what each centre is doing and possibly do joint events etc. Each centre can update its part on its own without having to ask IUDI to do it, but some control will be maintained because its part of the national site. A federal system, of empowered states within the union !
  3. MEMBERSHIPS. Chasing members to pay up will be done by the new Secretary/Treasurer. There is a backlog of 9.2 lacs of unpaid fees.  This is an important amount for IUDI to recover. I believe that the Centres should also play a role in chasing down these funds. Very often, the delinquent accounts will be known to the office bearers of the centres and they may be more effective than a mail from head office. Hardeep has shared this list with me in a Excel format, and if Manoj/Nirmal can separate it into Centre wise lists and communicate them to at least the active centres, this work should start.
  4. SHARING OF MEMBERSHIP FEES. I understand that the decision for IUDI to retain the one time enrollment fee and share the annual membership with the centres in a 30/70 ratio, with 30% forIUDI national offce and 70% with centres  has been taken. Lets do this. Hardeep tells me there is an amount of approx.  Rs 95000 waiting to be shared. When the Secretarys office is doing the Centre wise list, they can also work out this amount and distribute it. We can then set up a system of doing this every six months. I assume this does not need any EC ratification at a meeting and should be done. This is a great incentive for Centres to increase membership and get their members to pay up.

5-      RULES FRAMEWORK BETWEEN IUDI AND CENTRES. We spoke about this at the last EC meeting and also in my last mail. The idea is to empower and allow each centre to become a hub of activity. There is no other way for IUDI to grow and reach more people. However, for everyones benefit, there has to be a framework which governs finance, operations, intellectual property, academic and professional affiliations etc. I am useless in writing this kind of thing. Who can help write or at least source how IIA and others do this?

6-      THESIS SEMINAR. Sushant School has confirmed 2nd and 3rd nov as the dates. Should we try and hold an EC meeting then ? I am not available on the 2nd but 3rd is OK.

7-      HARDEEP. I met Hardeep and he really is keen to go. He said he first resigned a couple of years ago but has been convinced to carry on. His loss will be a blow to us here, but I guess we have to let him go and look for replacements.  He has suggested that if Manoj and/or Nirmal are coming for the Thesis Seminar, he would like to spend half a day with you two and hand over and explain all files, documents, bank statements, check books etc which should be with secretary and treasurer so they can function. This is important as I don’t see how the Secretaries office, which is the hub of all IUDI admin work, can function without this handover. He is leaving some of the files with me in my office and is still looking for a home for the steel cupboard which is with him and has old records and needs to stay in Delhi.
