Thanks for your reply. You are absolutely right. We will share the annual membership fees and retain the enrollment amounts for IUDI.

As discussed the proposals are all good and in better interest of IUDI.
I suggest that we can share the subscription money with the centres in ratio of 70:30. The money after being received in IUDI subscription account can be transferred as per the membership serviced by the respective centre. However, the money received on account of enrollment should be restrained by centre and FD's made periodically. This collateral security is essential for the institute for any future investment as may be required.

Thank you very much for your response and your suggestions/concurrence. I have heard from you and spoken to a couple of others on the phone, who have generally agreed. I am going to wait another couple of days to give members time to give inputs and after that, I will take it that everyone has agreed and proceed.

I will be meeting Hardeep next Tuesday and try and sort out an arrangement with him. In the meantime, Manoj and Nirmal could look for a local resource and lets discuss what the cost etc will be.

For the IUDIDNCR seminar/exhibition, I think we can do partial support and request them to look for a second supporting organisation. I don’t believe there is any commitment to them from IUDI, but I think this exhibition is important and should be supported.

If other centres start some activity and do some local fund raising, we can be supportive as much as possible.

I want to start this 70/30 distribution of membership fees as was agreed some time ago. This is an incentive to centres to promote new membership and continued payments from existing members, as a large part of the funds come back, and its also good for IUDI. I will get back to the EC on some numbers soon.

These are very good suggestions.

 

1. Email Signature & Logo - This could be done. However, the current email ids people are using may have other official purposes. 

 

2. Creating a udesindia.org email id should be possible, our webmaster should be able to create this. But for a term of 2 or 3 years, is it worthwhile is the only question.

 

Recently, I discovered that www.iudi.org.in was not registered by anybody. I have blocked this website. So if the council feels it could be used for better identity, i could transfer the website to IUDI webmaster

 

3. I agree. All documents should be maintained by the Secretary. Commonly shared docs, such as minutes, agendas etc could also be kept in a google drive for which password is shared with all EC. So that past references can be made easily.

 

4. Whatsapp group is a good idea. We should use it only for official purpose. I have a doubt that Arunav doesn't use Whatsapp, but I could be wrong.

 

5. I strongly feel that Hardeep’s is an important role even as part time. We should have him continue. I agree that we should minimise our expenses.

 

6. For our centres to mature, we should encourage them to find their own funds. Since there seems to be some understanding in this case, I suggest the President and Secretary take necessary decision in favour of conducting the event.

 

We must encourage Sushant to start looking for sponsors for the Thesis Seminar. Being in Delhi NCR, I am sure several companies could be contacted. A function attended by 200+ post-graduate Architects from different parts of the country, would  be good mileage for any company. In the process they could also save some money for the centre’s future activities.

I want to deal with a few admin issues .

  1. Mail. A lot of our communication will happen through email. Can all IUDI mails carry a footer, as suggested below. If you agree, I can arrange to send out the logo below to the exec committee members and they can create a mail signature in their personal devices and ensure that all IUDI mail looks similar and has a uniform presence.
  2. Do the office bearers get IUDI mail IDs ? what is the record keeping system for all IUDI mails? Where are the mail histories of the previous generations and how do we hand over to the next? Amit Hajela advised me that Hardeep will have some/most of this data, so I will speak with him, but is there more info that someone can add.
  3. Also, what is the best system to manage IUDI communication ? I assume most things will now happen from Manojs place of work, so I think Manoj can set up something which is easy to manage but maintains clear and accessible records. Suggestions welcome.
  4. Perhaps the exec committee can also have a whatsapp group for quick communication. As long as there are no jokes, gods, politics and random videos of random things. Keep it for work. Agree ?
  5. Manoj had rightly mentioned to me about the requirement of some secretarial help at IUDI Thiruvananthpuram as that is now the centre of operations. I looked at the budget and we are very very poor. I also spoke with Amit and he felt that we will need  some help here as well as accounting, auditing, reporting, any govt liaison etc remains in Delhi, though of a reduced volume of work. Hardeep is also getting busier at the AKF and perhaps wants to move on. Any suggestions ? My initial thoughts are that we request Manoj/Nirmal/Biley to start by seeing how much they can manage themselves and if it is difficult, see what a minimum help will cost. Also, we can talk with Hardeep to only help us at annual accounts filing time or something like that. Frankly, I don’t know how much work there is or what a distributed centre as in Delhi/TVNM will mean for IUDI.
  6. The IUDIDNCR request for 30000 to help exhibit the Sarojini Nagar drawings at IHC is current. Ideally, they should have got this money on their own , and I will talk to them. However, This competition did not get planned and funded in the conventional way and if we want IUDI to make an impact on what is an important and visible issue, I recommend we agree. However, I would want some concurrence on this from the committee.
