International Expo

[Indra Heodinata]

Hi all,

The International Olympic officially ended yesterday so thank you for participating in it, even though we did not win a medal for all games (I think), we still have fun in it and that's all that matters. So moving to the next event on our schedule is the International Expo. which will be held next week on Wednesday, October 5th from 10.30 AM to 3.00 PM at the International Mall (the lawn between Noble Research Center and Library). We will be selling food as usual!

Please reply to me or this group if you will be able to make it to the event (you do NOT need to be there for the whole time, unless you are free for the day) so I can make a time table for the shift. We need at least 3 people at all time. I will be there for the whole event. 

For the food, we usually do satay and bala-bala. Is there anyone willing to be the head chef hmm? =D Also if there is any suggestion for new menu please do so. We will need helpers to prepare the food this weekend. Any volunteer will be appreciated.

Indra, when do we need to buy the ingredients and supplies? Because it will be better if it's in 1 receipt, so the reimbursement will be easier and i can buy the stuffs if no one else is available. Just let me know if we decide to buy the tent and all other stuffs(satay sticks, flour, vegetable for bala2, etc) thanks.

Indra, Bisa tolong dibikin daftar atau tabel seperti begini: 1. Preparation day: apa saja yang dibutuhkan, apa saja yang sudah dimiliki PERMIAS, apa saja yang harus dibeli, siapa yang (bersedia) jadi penanggung jawab 2. D-Day: idem seperti preparation day, ditambah slot waktu (misalnya 8-9, 9-10, 10-11, etc) Supaya lebih gampang melihat gambaran apa yang PERMIAS rencanain, jadi teman2 yang waktunya terbatas bisa ikut mengatur waktu/berpartisipasi dengan lebih mudah. Since we are preparing it on weekends, maybe Thu/Fri? If some things need to be prep longer, we can even start tomorrow. I don't know anyone that will be available to buy it yet so if you are able to do it, please do so. Let me know when is the best time for you to go. I can help if I am available. So for update,

• Preparation for satay will be this evening from 6 or 7 at Senna house.
• Tusuk sate will be tomorrow late morning at Senna house. 
• Mbak Erni will be in charge of cooking the fried rice.
• I think there is a change in expo schedule, still Wednesday but I'll confirm the time after ISO meeting today.
• Anyone feel free to come to Senna house today or tomorrow for preparation

Thank you for those that went to prepare the satay. We have total of 395 satay to sell along with fried rice and bala2, so please come help us on Wednesday on the expo to sell them. There is an update on Expo schedule. The new schedule is from 11:00AM to 2:00PM. We will start preparing at 10AM sharp.

I'm glad to hear that it was a success at today's expo, and of course the ability of the people to come out with the idea of cooking the satay without using the grill (something that none of us foresee as an issue before today). I agree, I do think that we did well today. However, there are some points I would like to bring to attention so that we can learn from it and will not repeat the same mistake the next time we do things like this. 1. You need to DEFROST the satay before putting them on the grill... 2. Put attention to details. Never underestimate small things. First of all thank you for all the help on the Expo no matter how big or how small it was, because we sold all of our items yesterday. We cannot mention each person as so many people helped yesterday but you know who you are and thanks! There are a lot of problems within the expo and we overcome it together with solutions and cooperations that were not made by just one people but with the help of everyone of us that were there. Some important concerns about stuffs that happening in the expo and we will just summarize it.

1. People are complaining about the VSA being allowed to use the charcoal grill while we cannot. ISO has warned them that organizations should NOT use the grill because the county is on fire ban. We followed the rules and they did not, which I guess explained the whole issues. We will mention this on the next ISO meeting.
2. There was alot of miscommunication about the food and decoration such as defrosting, tent, menu, etc.. and partly it was because of several chain of events that made us unfocused. There is no one person to blame on this and thank you for all of you that came up with solutions and helped.

There are probably things that we missed but just like mbak Masni said, we learned something yesterday and we can apply that to the upcoming events. In the end we are all having fun in selling the food and hearing good comments about the food we made. I think we made some profit and I will bring it up next time as we have not calculated it yet. Next events will be the World Cafe and Homecoming Parade on 28th and 29th of October. The details will be emailed later. Enjoy the rest of the semester guys!

Indra, one of the sendok nasi is mine. Also the tong and the blue box (for money storage). I also would like to add the things that we SHOULD and SHOULD NOT do for events like yesterday: Should: 1. Most PhD students have offices on campus. So the night before the event, ask permission from one of them to use their offices as a temporary storage. This will make life easier, because we know where to find what we need to find if all the stuffs are kept in one place ON CAMPUS, and NOT AT HOME. 2. Make a list of ALL the things we need for the event (including what we have and what we don't have) at the latest the night before the event. Share this information to everyone, or at least to the people who will help in the preparation on the D-Day. 3. Have a backup plan: "If the condition allows us, we will do this. Otherwise, we will do that." 4. On the day of the event, be ready to take action and be more initiative. Should not: 1. Use the same cool box (plus ice) to transport raw meat and to store the drinks. This violates the food handling safety. 2. Blame others when something went wrong. This was the expression that I heard the most yesterday: "why didn't they let us know about it before?". It is not their job to tell us every details, it is our job to find out! Asking "why?" is not going to solve any problems, but asking "ok if that's the condition, what should we do next?" will. No hard feelings, guys. It was a great job yesterday from everyone, only a huge chaos in the beginning :D

Semalam aja. Cuma masalahnya, aku nggak ada waktu buat mengurus reservation dan cari lokasi. Ada yang bersedia volunteer? Lake Carl Blackwell kebanyakan camp ground-nya butuh annual permit, kalo Lake McMurtry nggak. Kalo nggak salah Lake McMurtry biaya sewanya $18/malam dan $9 parkir. If this is too much of a trouble, picnic would be fine.
