I would like to first thank you for the help and support from Invertis.
I understand the frustration that management has regarding the implementation progress. We are also not very satisfied with the progress. As you would know that any business would like to complete the work so that they can start billing the customer. We also would like to complete Phase I implementation as soon as possible. We are looking into ways to expedite the delivery and improve communication and will need your help and support. We will send you a revised high level implementation plan for remaining Phase I modules by end of this week.
I also want to take this opportunity to share with you the portal that we are planning to release for the Chairman and Management. Here is the link to the portal: http://208.109.252.52/EdulokaAccounting/dashboard.html. You can close the pop up window, which comes up when you click on the link to continue. This is a demo version and not a working model but will give you an idea about the portal. In the demo version, we only have accounting related functionality, but for Phase I, we will be adding more tabs related to Phase I modules like Academic tab.
I don’t want to sound like complaining but I want to clarify few of the things mentioned in your email. I hope the email is taken in a positive way and Invertis will give us opportunity and time to complete Phase I. We are open to suggestions.
Academics Module is working fine and most of the teachers are able to take Attendance without any problem within 2-3 minutes. We already provided Assignment link for testing to the team and are working on releasing Admission and Time Table module. We have not received any feedback on the Assignment module.
We have treated this project as development of customized software for Invertis rather than deploying a product. If you ask Invertis project team, they will tell you that we have not refused a single customization request from them. May be that was a mistake on our part but we thought it was important to provide functionality that the users of the system will use and want.
Requirement also changed multiple times since the initial requirement that we gathered during the Requirement phase. There are many functions that we have customized and developed specifically for Invertis like Group Attendance, which the existing vendor refused to develop. Some of these customization request we got after the requirement phase was complete and we had to spend time on these functionalities.
We have a large team dedicated for Invertis and they are only working on Invertis customization, development and maintenance. I can provide you the technical lead contact information anytime if you wish to talk to him.
As you have mentioned that Astha primary responsibility is not providing data entry status. We completely agree but Astha has been asked to coordinate the data entry effort and provide status of the data entry on a regular basis. This has taken some time from Astha’s daily work of gathering the requirement and working with staff on implementing the software. As of now, we still don’t have all the students and faculties in the database and few teachers are not taking attendance in the system, so the reports may not have the complete information. My suggestion would be to identify a staff member from Invertis side who will take care of all the request from the users and responsible for providing status of data entry. We are always there to help and guide. This would help Astha to concentrate on the requirement gathering, training and actual implementation of the solution. Also, there are frequent changes in the faculty assigned to subjects but the changes are not intimated on a timely manner to us/ERP team for the team to make those changes in the system.
We had found few issues in our application related to performance few weeks back. We fixed those issues immediately and deployed at Invertis production site. We also tested and it looks good on our side. On a daily basis we gather performance related statistics on our database and anything that takes more than 1 sec are analyzed and if required necessary corrections are made. One of the reason for the speed issue could be inconsistent Wi-Fi speed throughout the campus. We also found that the speed is less in the University and MS block. Astha was informed that MS block speed would be improved and they will talk to the networking team. Astha is going to run speed test at a regular interval from different location to find out the variance in the speed. Also, MSDN is on intranet and EIMS is on internet.
Regarding documentation, we have provided the hard copy of
Reports specification and Menu/Sub Menu specification but have not received any
feedback. Please let us know if any other documentation is required and we will
be more than happy to provide Invertis with the same. Project
summary status report was provided on regular basis initially
but we were told the report is not required so we stopped the report.
