But anyway thanks to PES for encouraging the virtual platforms. In July this Year, we had a virtual PES Global workshop in India, which was a big hit. Recently on 24-25 September, 2019 Bangladesh Section in association with their PES chapter organised a two day work shop with the theme Smart City Initiatives in Bangladesh. Multiple sessions on Power and other engineering domains of Smart Cities were covered, actively participated by over 100 delegates. Some 40 speakers at the level of CEO/CTO drawn from Government, Utility, Industry and Academia including 5 Keynotes addressed diversified topics ranging from Smart Energy, Health Care, Educare, Water & Traffic Management. The Government of Bangladesh was also very keen in this workshop proceedings and duly represented by the South Dhaka City Mayor who inaugurated the event deliberated that views and outcome of these panel is pertinent and he would like take them seriously for his future city development plans. The Deputy Minister, Education emphasized the need of smart education and Member of Parliament who stressed that the outcome of this workshop is very important to their Government during the closing session. Some of the CEO’s evinced keen interest in partnering with IEEE PES and the event was well sponsored and represented by diversified audience. A detailed report along with a white paper is expected from the organizers .

As I was on travel, my reply is delayed.
Few days ago, the workshop outline was discussed at the PES Governing Board and it was confirmed that no financial assistance would be possible by PES at this stage to any of these PES Global Workshops except for checking possibilities of arranging couple of good speakers.
Depending on the metrics that we can target for these pilot phases of workshops, PES may decide in future. It was also opined that metrics of these workshops target could be (a) to aim higher grade membership growth, may be 10% YoY and (b) to bring in an industry partner under the PES corporate partnership program.
To bring down the costs, it is recommended to have (a) participant registration fee covering food and incidentals, (b) venue choice as premises of some government or academic school or some sponsoring industry (c) minimum expense budget on speaker travel and incidentals and (d) minimal discount offer to any category.
From the experience of similar workshops conducted on smart cities from the last one year by few PES Chapters across India, it is observed that (1) a lead time of 2-3 months is sufficient for conducting a successful workshop. (2) If a theme pertinent to local requirements is chosen, majority of the speakers can be drawn from local sources and in addition, couple of experts can also be arranged from outside from PES DL or some experts from Smart City Domain. (3) It is required to involve local industry and corporates, preferably those oriented on the chosen theme which can result in some good sponsorships and/or workshop registrations. (4) Depending on the theme of workshop and involvement of local Industry, government and corporates, generally the workshop can make breakeven and may also attract some profits.
However, the workshop outcome may be focused on developing a white paper or road map on the selected theme that would aid the local government and associated stake holders.

Lastly, if you can finalise on the dates of workshop early, speakers can be contacted for confirmation. For example, PES President Saifur can attend Malaysia workshop if it is slated in December 1st week or so, I think.
