Hope you are doing well. 

Unfortunately Pandemic has created a big dent on all our planned events. But anyway thanks to  PES for encouraging the virtual platforms. In July this Year, we had a virtual PES Global workshop in India, which was a big hit. The program flyer is attached for your information. Due to online free access, a good no. of 650 delegates registered for the event and during the inaugural event alone I noticed some 360 participants attending enthusiastically.  

Appreciate if you can check the possibility

 and opportunity to organise this online event at your convenience, perhaps in the next couple of months

Sorry for the late reply.

I was travelling in the early December and was not well after came back to Malaysia.

At present, we have not decided on the date yet. PES Malaysia will be having their AGM on 18th Jan 2020. Looks like all plans will only be finalised after the agm.

Unfortunately I will be away that time to USA to attend the PES Governing Board meeting scheduled in Mid January. Since the MGA Board meetings are scheduled in the 2nd week of February at USA, I may prefer to stay back.

Hence I may miss your event. I am apprehensive that even Saifur or Frank may find it difficult to attend in January or February.  We may check with them also.

However I can advise one of my PES Global Workshop Committee Members to attend attend and support you in the event.  Dr. BVSK Murty, Singapore may find it easy to reach you for this. I may request Dr. Nagaraja, PES India Council Chair and Prof. Nirmal Nair also for guiding you

Lets us plan and do a great event. I will send you a brief report of the recent Smart City Workshop organised successfully by Bangladesh Section with their PES. Please free for any additional inputs for the workshop over than that provided earlier by me.

Regarding Funding you write to Dr. Mehdi Ganji, the IEEE Smart Cities R&D Committee Chair who can try from some US agencies, if enough time is available. 

First PES Global Workshop Experience:

Recently on 24-25 September, 2019 Bangladesh Section in association with their PES chapter organised a two day work shop with the theme Smart City Initiatives in Bangladesh. Multiple sessions on Power and other engineering domains of Smart Cities were covered, actively participated by over 100 delegates. Some 40 speakers at the level of CEO/CTO drawn from Government, Utility, Industry and Academia including 5 Keynotes addressed diversified topics ranging from Smart Energy, Health Care, Educare, Water & Traffic Management. The Government of Bangladesh was also very keen in this workshop proceedings and duly represented by the South Dhaka City Mayor who inaugurated the event deliberated that views and outcome of these panel is pertinent and he would like take them seriously for his future city development plans. The Deputy Minister, Education emphasized the need of smart education and Member of Parliament who stressed that the outcome of this workshop is very important to their Government during the  closing  session. Some of the CEO’s evinced keen interest in partnering with IEEE PES and the event was well sponsored and represented by diversified audience. A detailed report along with a white paper is expected from the organizers .

Few days ago, the workshop outline was discussed at the PES Governing Board and it was confirmed that no financial assistance would be possible by PES at this stage to any of these PES Global Workshops except for checking possibilities of arranging couple of good speakers. 

Depending on the metrics that we can target for these pilot phases of workshops, PES may decide in future. It was also opined that metrics of these workshops target could be (a) to aim higher grade membership growth, may be 10% YoY and (b) to bring in an industry partner under the PES corporate partnership program.

To bring down the costs, it is recommended to have (a) participant registration fee covering food and incidentals, (b) venue choice as premises of some government or academic school or some sponsoring industry (c) minimum expense budget on speaker travel and incidentals and (d) minimal discount offer to any category. 

From the experience of similar workshops conducted on smart cities from the last one year by few PES Chapters across India, it is observed that (1) a lead time of 2-3 months is sufficient for conducting a successful workshop. (2) If  a theme pertinent to local requirements is chosen, majority of the speakers can be drawn from local sources and in addition, couple of experts can also be arranged from outside from PES DL or some experts from Smart City Domain. (3) It is required to involve local industry and corporates, preferably those oriented on the chosen theme which can result in some good sponsorships and/or workshop registrations. (4) Depending on the theme of workshop and involvement of local Industry, government and corporates, generally the workshop can make breakeven and may also attract some profits. 

However, the workshop outcome may be focused on developing a white paper or road map on the selected theme that would aid the local government and associated stake holders.

The revised workshop outline is attached herewith.

Lastly, if you can finalise on the dates of workshop early, speakers can be contacted for confirmation. For example, PES President Saifur can attend Malaysia workshop if it is slated in December 1st week or so, I think.

PES Global Workshop Committee member Dr. BVSK Murthy from NTU Singapore and our team will guide and help you to formulate a good strategy for successful conduct of the workshop to reap its manifold benefits. I can try to arrange one or two good speakers on smart cities from our side if we can schedule the program in advance in this year or early next year. I hope you will discuss with your PES Chapter Excom and Section Chair to organise this event on suitable dates and topics.

I hope and wish that you can help your local PES Chapter chair and involve associated Chapters as well to organise successfully this need of day workshop on Smart Cities.

@ Dear Dr.Fawnizu, This workshop format would certainly help to build good member development  and engagement activity for PES, several sister societies and of course your Section not only in Malaysia but also among neighbouring sections and chapters viz. Singapore, Thailand and South Asia.
