Greetings community ...

Trusting you are enjoying your day when you read this.  I have been following an iDempiere "Initial Client Setup" cookbook which I found most useful until I hit the iDempiere webUI (mandatory) question:
  • Chart of Accounts file
I know what a chart of accounts looks like.  I didn't expect an enterprise ERP package to not have some default option for this.  My my sill me.

Now the crunch question.  As I cannot define or edit a Chart of Accounts 'inside' iDempiere.  What is the how-to recipe I need to follow starting-up a new business inside iDempiere?  Is there one, because so far Google is giving me "nuffin' :-)"

It would be 'nice' to see some CoA templates or examples in sourceForge along-side iDempiere.  I'm sure you can mention that, like a iDempire tune-up ;-)

Try to start here: http://www.adempiere.com/Chart_of_Accounts

I recommend you to get the book "ADempiere 3.4 ERP Solutions' Bayu Cahya Pamungkas. Maybe the cookbook is not what you need yet.

Hi, you can use data/import/AccountingUS.csv on your installation folder.

I am using the one from smartjsp, it looks complete, you may get it from smartjsp in sf.net.

Hi all,

Thanks for the pointers.  For the record, I do know how to make a chart of accounts.  The question was how does one make a Chart of Accounts with iDempiere.  Of course I missed the personal blind-spot that others looking here may not know what a Chart of Accounts is.

For my purposes and folk who come to this later, I found this very helpful outline.  Not too much jargon or accountant speak.
Resource wise, now that I know what to look for ... Check-out:
If one looks into the aforementioned Import folder:
  • $ server/data/import/
Contains many prototype Charts of Accounts.  I'm in Australia, so I'm interested in an "AccountingAU" or something appropriate.  For similarly seeking, Australians I did come across a National Standard that various local, state and federal government and NGO-s will recognise more easily and I suggest give this layout a good look-see ;-)
I shall, of course.  For my use cases, this means I can interchange and refer data little more easily with public authorities, NGO, NFP, etc.  (I'm sure there's a federal link some place; and I reckon these examples are good for your prototypes while you look for updates, etc.).

Setting off on the next island hop in my iDempiere adventure.

Aloha,

   Will

Summing up, there are some example charts of accounts.

Will, just to add -> most probably the samples will throw errors because of incomplete excepting AccountingUS.csv which is kept up to date with any new default account we add.

Hi Carlin,

I've been through this process recently and I'd recommend a) - unless someone else more experienced says the opposite ;-)

I'd also recommend to do the initial loads on a sandbox (test environment). Very likely, you will need to load/amend the file several times until everything is ok and hence will possibly create several tenants (clients) during that process.

At the initial client setup the default accounts are loaded only when the Account.csv is imported. To load the rest of the accounts, including the Balance and P&L reporting definition, the account file has to be imported a 2nd time. The load can be repeated in System Admin -> Data -> Data Import -> Import File loader (here you load the file) and then to process it: Data Import -> Import Account.

Once loaded successfully, it may be worth while to do some test postings in order to check the correctness of the CoA in terms of Balance and P&L reporting.

I have a question about getting Chart of Accounts setup for a new client.

Is it a bettter process to:

   a) Start by modifying the iDempiere default COA (AccountingUS.csv) to what we want it to be before creating the client (which would then use the modified file?)

         *** OR ***

   b) Create the client first using the iDempiere default COA (AccountingUS.csv) "as-is", then later modify that COA file, and then later import it again over the top?

Thanks,
 Carlin

Hi Peter,

Thanks a lot for directing by this way. Now i have tried to do the same way but just the default accounts are showing, i cannot find my created COA (Accouting US + new others accounts from the clients) in Idempiere.
Please where can i find them? other how can i use them?
I have done like this:

1-Import COA US by creating a new client
2-Import my created COA with all default accounts and anothers news accounts through import file loader
3-try to import accounts one by one through import account.

I would like to see all these accounts in my GL Journal :).

Thanks a lot for your contribution

Hi Marie,

Can you see the imported accounts in the "Account Element" window? ( Menu -> Performance Analysis -> Accounting Rules -> Account Element)
You won't see your accounts in the "GL Journal" window as this is used to do direct postings (once in production, most of the postings will be done based on documents, but in the
"GL Journal" window you can do manual postings).

The right place to check the COA is the "Account Element" window. Alternatively (in case you've done some postings, direct or via documents) you can use the
"Account Info" view on the "Home" tab. ("Home" tab -> Views -> Account Info)

Also you can define a report by yourself that would show you the Balance or P&L.

Let me know please if you see your COA in the "Account Element" window.
In case you don't then something went wrong during import. You may want to check the log files.

Hello Peter,

unfortunatly not, i cannot see the the imported accounts in the "Account Element". Now when i try to import the COA by creating a new client, even the Accounting.US csv it does not work. It is displaying that "** Error while creating the Accounting Setup. Check the error log and the format of the Accounting*.cvs file - No duplicate Accounts and all all defaut accounts must be included (even if you will not use them)." No account has been changed inside, neither removed nor added.
In that case, i cannot even continue to import the created COA in the import file loader other to continue any operation in Idempiere. I want to know how to continue.

Please Help !!! thank you to answer my question.

Hi Marie,

1. Doublecheck if you have all mandatory default accounts properly defined
2. Check if the [Account_Value] column (it's the first column) does NOT use quotes

In case there are quotes in the [Account_Value] column, then I suggest to remove them all and to repeat the data-import.

Please see below example of my CoA (just the first two lines, the first being the header line and the 2nd is the first data row):
"[Account_Value]","[Account_Name]","[Account_Description]","[Account_Type]","[Account_Sign]","[Account_Document]","[Account_Summary]","[Default_Account]","[Account_Parent]","[Balance Sheet]","[Balance Sheet_Name]","[US 1120 Balance Sheet]","US 1120 Balance Sheet_Name","[Profit & Loss]","[Profit & Loss_Name]","[US 1120 Income Statement]","[US 1120 Income Statement_Name]","[Cash Flow]","[Cash Flow_Name]"
0,"Dlouhodobý majetek","Dlouhodobý majetek (A)","Asset",,,"Yes",,,"0","Dlouhodobý majetek",,,,,,,,

Best regards,
Peter
