Hi Matthew,

Good afternoon and Happy New Year!

Hope you are doing great.

On behalf of ICC, Garden State, I would like to reserve the Hedden Park of Morris County for 27th of July, 2025, Sunday for their  annual picnic. Additionally, we want to reserve the largest shelter of the Hedden Park for conducting our picnic on July 27th, 2025. 

Please let me know the documents that you need for processing the reservation. Also please find below some information that we have provided in previous years.

Thank you for your interest in our parks! Attached you will find the outdoor picnic application that is required to be filled out completely and submitted back in order for the department to make your reservation as incomplete applications will not be accepted and will be returned. Please be advised that all applications must be submitted at least three weeks prior to the event date may take up to one week to be reviewed and approved. You will also be required to submit a certificate of insurance in order to finalize the reservation but detailed instructions will be given within the confirmation email.

 

Once your application is reviewed and approved, a member from the department will confirm the reservation and send you all of the necessary information on how to pay and finalize it.

 

If you have any further questions on the process please do not hesitate to ask!

Thank you for your ­group’s reservation at the Reservoir Rd shelter in Hedden Park on 07/27/2025 for 150 people. Your submitted 2025 picnic application has now been processed and approved by our office. Attached you will find a copy of your tentative permit so you may view the reservation information and breakdown of the rental cost. Please read it carefully for accuracy and if any adjustments are needed, make sure notify the reservation office right away. I have also attached the insurance information packet that highlights what specific insurance documents, coverages, and supporting documents you will need to submit. Make sure to read the packet thoroughly since there are specific supporting documents you will need to submit if you do not have commercial auto or workers compensation coverage.

 

Once the office receives your payment and insurance certificates they will issue you the permit that you need to bring with you the day of your event.

 

Insurance Requirements

All organized groups are required to provide the County of Morris and the Morris County Park Commission with general liability insurance, workers’ comp, commercial auto insurance and a hold harmless agreement form/indemnification form. This information needs to be submitted a minimum of 30 days prior to your event. Please see the attached document that contains a check off list and sample forms of what is needed. If you do not carry workers’ comp please fill out and submit back either the self-employed  or unincorporated form depending on what type of organization you are. If you do not carry any commercial automobile liability please supply us with your personal automobile insurance information including insurance company name, last 4 digits of the policy number, and expiration date of the policy.

 

Not-for-Profit Groups

To receive the Not-for-Profit rate from the MCPC you must meet and submit the following requirements:

            1. Proof of 501(c)3 approvals form the Internal Revenue Service – Department of Treasury.

            2. Supply a list of all current Officers for the organization.

            3. A letter from the organization’s Officers verifying the request complies with the purpose of the 501(c)3.

 

Alcohol

Any and all groups that obtain an alcohol permit through the MCPC will be required to obtain and produce a liquor liability policy on their submitted certificate of insurance or on a separate event one. The liquor liability policy that is obtained must meet our limit requirements as seen below –

Organized groups who provide, serve, or plan to have alcohol will now require Liquor Liability Coverage.

Liquor Liability (required) - $1 Million Each Claim, $1 Million Aggregate.

 

Payment Information

Please note that full payment is due by 01/21/2025.

 

You may make your payment by calling the reservations office at 973-631-5013. You may also send a check in the mail to the PO BOX on the top of your tentative permit and ATTN: Matthew Sudol

 

Park Rules & Regulations

To review a full list of our rules and regulations, please visit MCPC Rules & Reg. The park commission has a policy which states that you need to supply your own trash bags for your event. Our rain date policy has changed. Only customers who book an open picnic site (without a shelter) can reschedule free of charge if their picnic gets rained out. Customers with shelter rentals do NOT qualify for a free rain date or refund.

 

Vendor Information

If you are going to hire any vendors (DJ, caterer, food truck, magician, clown, rental company, etc.) to be on park property, they will required to provide the County of Morris and the Morris County Park Commission with general liability insurance, workers’ comp, commercial auto insurance, an endorsement form and a hold harmless agreement. This information needs to be submitted a minimum of 30 days prior to your event. There may be additional fees so please contact the reservation office. Please note that if the caterer you hire is only going to deliver the food the day of your event, they will not need to submit all of the forms. Make sure to notify the office if you plan to have any vendors on site so we may send you the vendor application packet to forward over to your vendor(s).

 

Morris County Fire Marshal

A new memo from the Morris County Fire Marshal’s office states that if groups decides to use alcohol fuel cans (sternos), they MUST be commercial grade and not general use models. The new code can be found by clicking the attached link N.J.A.C. 5:70-2.7 – specifically a Type 1 permit under the (xix) provision. Additional cooking permits are required for these open flames so please reach out to the reservations office or the fire marshal’s office directly for further information on how to obtain and submit these permit applications.

 

Other permits are required from their office such as for the use of an event tent or hiring food truck(s). These permits must be submitted directly to their office no later than prior to 30 days of the event date. Without their office receiving and/or approving them, these vendors will not be permitted to be on park property, no exceptions made. Please notify me for any of these vendor so I may send you the proper forms to be completed.

 

It is also standard practice for their office to conduct an onsite inspection on the day of the event for the use of any event tents, food trucks, or open flames, including alcohol fuel cans.

 

If you have any questions or problems, please reach out to me via email. My office hours are Monday through Friday between the hours of 9AM and 4PM. Should you have any problems on the day of your event, make sure to contact the Morris County Sheriff’s Office phone number listed at the bottom of your permit. If your event is during normal business hours, please contact me directly.

Hi Kymberly,

Tried to call you multiple times but went to voicemail, hence left voice message.
Our application for the reservation was approved by Matthew on 7th January, 2025 with only pending document as the updated COI since our yearly Insurance renews around 3rd week of July and we get the renewed document around the same time. The previous years COI is already available with last years application.
We don't have any commercial vehicles and only use personal vehicles and hence we don't have commercial auto insurance. We don't engage any worker for our picnic hence we don't have any Workers comp documents. I am not sure what is NFP documents.
ICC has been booking Hedden park for it's annual picnic for last many years and this is what do had to provide (Renewed COI) every year before our picnic.
