Recap from our Friday meeting.
Attendees:
In-person: Chaitali di, Dipankar da, Mridul, Sangeeta, Saurabh

Venue: Chaitali di’s house.
- Chaitali di confirmed that Purnendu da will discuss his recommendation later after the puja. Due to that the 1st agenda item was skipped.
- Magazine review - 10 – Saurabh
- Saurabh walked through the draft word document of the magazine. It looked great! He will ensure all the fonts and size are consistent, visiting card ads are distributed and the table around the ¼ ads are fixed with lighter color.
- Placeholder pages – sub-committees, program name and participants detail by respective EC members by Sunday 9/8
- Follow up on Mayor response and try to close it by mid-week
- Saurabh has found out a printing solution at Edison which is better priced and local. He will work with the printing company to get a trial done by this week before submitting the final.
- Recreation - share activities, plan for the 3 days with timing, plan for stall success - 10 min – Sangeeta

- Discussed about pujor time/Prasad distro. potential for clash with the Saturday’s recreation program. Chaitali di, Sangeeta confirmed that prasad will be distributed after Saptami puja which will be done before 2:00 pm. Program will start at the scheduled time. No room for delays due to pre-program sound setup that starts at 3:00 pm.
- For Kids there will be “Magic show”, also there is plan for arranging movie viewing for seniors.
- Other cultural and recreation budget is $500. This includes the mementos, flower bouquets and other recreational expenses. This might be less to include Thakur’s backdrop that needs to be created. Sangeeta will share the estimate with EC.
- 10 Tables confirmed. These will be arranged on Friday with name tags.

- Sound contract is pending signature. Arnab has sent contract to Chaitali di for review and approval
- Artist stay booking – this was not discussed. @Arnab Chakraborty please confirm these are booked.
- MCs – Sutapa di and Prasun will be the MC. Discussed about giving preference to member. Arnab will speak to Sutapa di and ensure she is fine with the assigned day.
- Arnab has spoken to Anusuya and Sutapa di and addressed the concern related to their not knowing about the gaan-er program that’s happening.
- Dilip da has requested for an 8 min slot for kobita, everyone agreed to give him the stage preferably during the changeover times so that it doesn’t impact the timings
- Revised Natok’s timing on Sunday will be discussed and confirmed with Sreemanta
- Arnab to work with Sougata and identify rehearsal slots for Mahalaya setup, Dance program and Natok on Friday.
- Concerns raised due to the pending items in the cultural areas. All pending items – rentals, contracts, booking, mementos for internal leads and oversees artist etc. will be address by Friday Sept 12th.
- Social - final menu, confirmation for food orders - 10 - Dipankar da
- Menu updated and final in the social tab of the excel shared above
- Sunday menu’s – Masala Dum Aloo, Veg Pakora and Chicken Kosha has been confirmed with Biriyani House; few items from Saturday’s menu will be reviewed by Dipankar da to source it from Biriyani House
- School confirmed that Walking Freezer will not be available due to food contamination issues
- Saturday Dinner from 7 – 8:15 pm and Sundays from 6 – 7 pm ET. Cultural program will be arranged based on these slots. Ensure no food distribution during program.
- Others
- Mayor invitation was sent. Awaiting response.
- Mridul shared updates on the school visit. 2 Cafeterias and 2 classrooms has been confirmed. Decision made to book 1 additional one.
Actions:
- Follow-up with Mayor’s office to try and get the content for the Magazine by mid-week – Mridul

#1 responded. Please work with Arnab to clear the overlap.
#2 Flowers, mementos, certificates, and prizes across portfolios typically fall under the “Recreation” category — that’s been the standard practice within ICC.
We discussed that you’ll be sharing the estimates for the backdrop. To keep it streamlined, I suggest you sharing the total estimated expenses for Recreation per planned items and activities. Once we have the approved numbers, Kamal-da can split the budgeted no. and reshare.

A couple of corrections for recreational activities -
- Korta ginni time is from 2-3:30PM. This includes buffer in planning and this was agreed on the 8/16 meeting. Shortening it to 1 hour will not work. Let’s discuss if there are any concerns.
- We decided to keep cultural and recreational budgets separate. Recreation budget cannot and should not include mementos for cultural activity participants as they are 2 completely separate engagements. We had a good amount of discussion on this before agreement in the meeting, but can talk more in case of any persisting concerns.
