Please find the working document we discussed at last Monday’s meeting.

 

It would be nice if there were specific items you wanted to get from the current EC at the Handover meeting (tbc), you could make a list of them so that it may help you in your area of work. We can then ensure this information is submitted to the current Secretary before the Handover to ensure whatever files/working documents etc. are handed over.

By now, most of you have confirmed you are receiving emails.

 

I’d like to set a deadline of 8pm tomorrow, Tuesday 11 June, for any further additions to the Handover list. The Handover list will be submitted Insh’Allah to the outgoing Secretary and OBs on Wednesday morning to give them enough time before the Handover meeting.

 

We are in the process of arranging the Handover meeting and as soon as details are confirmed, it will be circulated.

The handover should also include:

 

1.       Plans in place for forthcoming programmes especially Ramadhan

2.       Where they have got to with fundraising for Ramadhan iftaar

3.       Status of the database work that was started with Bashirbhai and Alphasoft and whether the contract has been terminated

4.       Status of negotiations with Rugby over the car park issue and who they have been liaising with

5.       Any outstanding issues or discussions with various buju’s

6.       Any outstanding claims or internal issues the EC may have been dealing with

Salaams. Everyone has sent email separately, but I think most of the items have been covered.

 

I would like the list to be in a table format- as a status log with action points.

 

I don’t think they will be able to provide all information on Sunday and will say we will give it to you. I would like all items that have been handed over to be ticked off and all pending to be stated in the action log and then all reminders date and response or no response to be recorded

 

Akil, I would like to give you one task as well. If you can maintain all the relevant correspondence and documents in some sort of folder and file both electronic and paper. You have got a good personel filing system, I would like you to save all the documents and email trails that we will be having with the outgoing EC as we will need this in 4 years if not early in the AGM.

 

There are lot of loose ends that need to be tied and I will have an offline conversation with you all individually. We need to tie all loose end in the next 2 years.
