Are there board members willing to claim the following responsibilities?

They are in charge of the booths but need direction on what to do.

Suzie Tomie is the woman who agreed to do shopping for food booths. Carmel Apple sticks, ice, etc. She also needs to know what to do. I recommend using the Master Booth Spreadsheet on Google Docs to guide them. Please share the links with her to make this work. Or, create a new document in Google Docs and share it with the group. On another note, Jim and I ran into some of our Eakin PTSA friends who told us about a group that will come to events in StarWars costumes. The contact person is Rachel Enck. Her phone number is 615-260-6689. I just spoke with her. She told me that there is no charge for their appearances but since they are doing this in their spare time, weekday events are difficult to schedule. We need to assign board members to  these responsibilities. Mr. Berry and Mrs. Ashurst, can each of you take the lead with one of the responsibilities below?  We need to get with these people and provide direction to them.

 

Mrs. Walker, I would like to meet with you asap, Dr. Carr informed me that close to 50 parents returned their forms and money for Fall Festival. We need to create a filing system for forms and separate them by home rooms.  "I still have not received the ticket rubric".

 

Mrs. Miller, did we purchase new tickets for the F.F. and do you have the wristbands?

Hello Everyone,

Hoping everyone is well on today.

 

Mrs. Ashurst, the more I thought about it, you have the experience of collecting forms and developing a program to gather forms, tshirts, tickets, and wrist bands to students class rooms. (we all will help distribute to class room).  If you don't mind, can you work with Mrs. Walker on developing this procedure of how this will work. Again, Dr. Carr said that money and forms are already coming in and are located in Mrs. Taylor office.

 

I will work with the family who has volunteered  for the booths. Mr. Berry if you could work with Ms.Tomie to purchase food items. You will need a check with you when you guys go shopping.

Suzie offered to go shopping by herself and get reimbursed. So that's an option.

Just wanted to remind you guys to upload all docs to Google Drive and share them with the group so that we have everything in one place. This helps us this year by giving all board members access to all info. It helps us next year by giving us a template for executing Fall Fest.

If you don't know how to do that, we should get you up to speed. Let me know if this is the case, and I will schedule a call with you to walk you through it.

Hello Guys,

I just spoke with Rachel from 501st Legions (Star Wars), due to short notice and event being on the weekday, they are not able to meet our request. Rachel would like to support any future event that takes place on the weekend. Of course those that work with her, have jobs during the week.

 

I also spoke with Jim & Ginny (parents who volunteered for booth management), I will meet with them on Thursday.

 

Mr. Berry, will you contact Suzie Tomie asap to make contact with her.

 

Mrs. Walker and Mrs. Ashurst, can you guys discuss your plans to develop a system of collecting forms and money being turned in by parents? Also, a system to pkg and distribute items to home room teachers.

 

Thanks all, we are getting close to our date. We will need to communicate effectively and make sure we are covering all bases.

 

Mrs. Miller created a document to schedule meetings up to our event. Please complete so we can schedule next meeting.

I plan on being there all day on Thursday, Nov. 8th and Friday, Nov. 9th.  I will separate the forms according to grade/class and assemble the t-shirts with the tickets and get them all passed out on Thursday, Nov. 8th.  If Ms. Walker could go ahead and collect the money, all I will need are the actual forms so I know the kid’s sizes and tickets, etc….

OK. I will be there on the 8th also to help.

 

As money is separated from forms, we need something to keep those forms separated and filed until November 8th.  We need to mark each form with type of payment, cash or checks and dollar amount.

 

Mrs. Walker, if you need help with this, please let me know. We want to deposit checks/cash asap. Do you need me to get this started, I know that you had plans to travel to NY.  How are your relatives in NY?

Do you have volunteers working with you?  We have close to 600 students. What did we decide on concerning teachers allowing students to take t-shirts and tickets home? I thought it was mentioned in a meeting that the students may lose tickets, etc....

I ordered the tickets, they arrive Friday. I also have the wristbands. I vote to let students take shirts and tickets home. I will ask the shirt company to deliver the shirts to the school. 

Highly recommend using a spreadsheet in the cloud (like google docs) to assemble orders. 

Also recommend that Nathan starts calling volunteers from sign up sheet and plugging them into the sign up genius list. We need another link to be sent out on the next e bulletin, as well. Mr Cox and Stephanie, thank you for filling out your availability.

I have spoken with the Star Wars people already, I sent info in another email stating they are not able to meet our request. They prefer to do events on the weekends due to everyone having to work Monday - Friday.

OK, I was looking over sign up genius last night and realized that we do not have many volunteers.  You are correct, we will need to ask for more volunteers and donations.

Dr. Carr will send out a robo call to parents and leave message concerning Fall Festival. Mrs. Miller, do you have any idea of what that link should consist of?

Here is where we are at on all issues:

  • According to the poll, we have one time that we can all meet this week: Saturday, Nov. 3 between 5 p.m. and 9 p.m. I propose that we meet at 5 p.m. at my home at 813 Russell St. The only one with attendance in question is Suleena. Thank you for your participation in the poll, it's quick and it's helpful.
  • Nathan needs to call parents who have not already chosen a volunteer spot and get them added to the sigupgenius list. Almost all spots are filled, we have about a dozen left open. The link is here: http://www.signupgenius.com/go/5080B44ADAB2EA46-fall
  • Stephanie will assemble payment info into a spreadsheet  and work directly with Suleena to get forms collected and items distributed. Items needed for this process are:

So far I have Nathan and Michael confirmed to help me on the 8th...I could use a few more workers.
I will distribute everything on Thursday but will ask the teachers to hold onto everything until Friday so nothing is lost on the way home from school.
I also need the final list of booths so I can have the students in art to make all of our signs.

I am not handling payment info at all...once Suleena collects payments and documents it, then I will take over from there with the assembling and distributing of items.

I don't think we need to buy rubber bands, sharpies, or envelopes, as those should all be available at school. I will confirm this with Dr. Carr, and go purchase any of these items needed.

I am fine with having students take everything home, but I will tell you from experience that we have had tickets and t-shirts either lost or stolen before the event. We have many students that ride the Metro Bus, and if it gets left on there, it's pretty much gone forever. I would prefer the teachers hold on to the items until Friday, so we don't have to deal with replacing lost items on the day of like I've had to do before. Please let me know your thoughts on this. We can get this communicated to the parents.

Yes, if you have the names and numbers of any additional workers that want to help on that Thursday, please let me know.

Here is a revised summary of everything based on the information from Stephanie (thank you, Stephanie):

Here is where we are at on all issues:


  • Suleena will collect and document payments.
  • Stephanie will use Suleena's spreadsheet (please do it in google docs!) to get the items distributed. Items needed for this process are:
    • Shirts (delivered to school)
    • Money and forms (from Suleena)
    • Wristbands (Erica will send to the school)
    • Tickets (Erica will send to the school)
    • Envelopes (get from school)
    • Sharpie (get from school)
    • Rubberbands (get from school)
  • Nathan needs to give Stephanie the name of the parent that wanted to help with shirts. She made a note of this on the signup sheet. Then Stephanie can call her and work out a time to get together.
  • Nathan contact Suzie Tomie at sto...@nashville-mdha.org about buying food items.
  • We are using sonic for all hamburgers and hotdogs.
  • Teachers are holding tickets/shirts stuff until Friday so nothing is lost.

I am not handling payment info at all...once Suleena collects payments and documents it, then I will take over from there with the assembling and distributing of items.

I don't think we need to buy rubber bands, sharpies, or envelopes, as those should all be available at school. I will confirm this with Dr. Carr, and go purchase any of these items needed.

I am fine with having students take everything home, but I will tell you from experience that we have had tickets and t-shirts either lost or stolen before the event. We have many students that ride the Metro Bus, and if it gets left on there, it's pretty much gone forever. I would prefer the teachers hold on to the items until Friday, so we don't have to deal with replacing lost items on the day of like I've had to do before. Please let me know your thoughts on this. We can get this communicated to the parents.

Yes, if you have the names and numbers of any additional workers that want to help on that Thursday, please let me know.

I ordered the tickets, they arrive Friday. I also have the wristbands. I vote to let students take shirts and tickets home. I will ask the shirt company to deliver the shirts to the school.

Highly recommend using a spreadsheet in the cloud (like google docs) to assemble orders.

Also recommend that Nathan starts calling volunteers from sign up sheet and plugging them into the sign up genius list. We need another link to be sent out on the next e bulletin, as well. Mr Cox and Stephanie, thank you for filling out your availability.
