I have setup an account with blogtalkradio.com which provides
extremely simple online audio streaming. All that is required is for
someone who will be at the meeting to call into a live web radio show
(via cell phone or regular phone) that I set up and I will put them
"on the air". This is the best and easiest way I can think of to
dissemenate the meeting to a large portion of people if Nationals is
unwilling to do a conference call (which is understandable since we
don't want 100 people talking at the same time).

We can give out the streaming url to all of the chapters and have them
listen in even if they can't attend.

Sounds fantastic. It would certainly get around the problems inherent
in a concall. Those participating remotely could send comments/
questions via chat or phone in for just a moment and then go back to
listening.

Great Job Wes, sounds like this will work quite well.

I think it would be most useful to chapters if we arranged someone to
take notes of the goings of the meeting, perhaps going from the radio
feed, and typing them into a listening-only chatroom. Any
discussions / questions should be in a different chat room, and a
representative at the meeting can bring up questions from the chat
room as they are able. I personally find it much easier to follow
discussions where I can review what was said before rather than trying
to remember everything.

So basically I think we should have the following:
1) Radio where someone at the meeting will inform other chapters of
the discussion
2) Chat room where someone who hears the audio will take notes for all
to review
3) Chat room where chapters may discuss and pose questions. Someone
will be in charge of contacting a representative attending the meeting
to share the questions.

We should probably invite the writer for the IEEE publication to the
blogtalkradio station.

Ok, the blogtalkradio station will have a chat room on the listening
page also... I think having multiple chat rooms will probably be a
little complicated, but a chat room with discussion and questions
about the meeting on the same page as the streaming audio would
probably be beneficial.

Do we have Nationals's approval to broadcast the meeting? It seems
inconsistent with their request that we not record the meeting.
Although I think it would be great for everyone to have access to the
meeting, we should also respect the rules set by the people hosting
the meeting. If you have asked for approval and they have granted it,
wonderful. If you haven't asked for approval, please do. I would be
ashamed if we were to broadcast the meeting behind their backs. Most
of us are criticizing the Board of Governors for doing things behind
our backs against our will. Our criticism would lose its credibility
if we do the same. I don't want to abandon ethics to fight a crusade
of ethics.

Oh, this definitely wouldn't be behind their backs. We still need to
get permission from them for sure. I was just trying to provide a
better option than "either we have a conference call or we only let
those who are physically there be involved" since both of those
options aren't very good.

They were considering holding a conference call in the first place.
Broadcasting and recording are different, so I don't think they'll
refuse a request to involve chapters that can't fly up. Also, when I
was told we may not record, I forgot to clarify if it was video
recording or both audio and video that was not allowed.

I think of course we should have the courtesy to check with them
first, but if they objected, it would strike me as very odd.

I spoke with Melissa at HKN Nationals today to ask about
teleconferencing capabilities. She said that if a chapter contacted
them in advance, they would be able to connect to a conference call.

Everyone, please call HKN Nationals at (800) 406-2590 to confirm and
register for the conference call.

Melissa also indicated that we should send questions in advance to
allow better preparation on their part. I personally see this as a
good opportunity for us because it will allow them to put their best
arguments forward. If the arguments remain weak, then we may assume
that their reasoning is insufficient to support a merger.

Since they are doing a regular conference call, I won't be streaming
the meeting online. If you'd like to be involved but cannot attend

We may want to do something like this for the meeting between chapters
after the meeting with Nationals.
