Please pay careful attention to the teachers' party rules. We have just over a few weeks before the program, so all coordinators should instruct their teachers accordingly.
Introduction of teachers should be very brief. Teacher's name and level are the only expected announcement. Please do not announce the names of teachers/volunteers who are not attending the program. With so many schools and teachers, if we manage our time better here, then we will not have to rush our cultural program.
Teachers and coordinators are expected to arrive by 2 P.M., so that we can start snacks at 2:30 P.M. We will start the program with prayers at 3:15 P.M., and the recognition roll call will begin at 3:30 P.M. The cultural program is expected to start at 5:30 P.M., and dinner is expected to be served at 8:30 P.M. Please be patient and don't rush.Programs
1. Group programs are preferred over solo programs.
2. Schools can send two programs.
3. No program should be over 7 minutes.
4. Bring your own CD or music instruments. We will have the music system.
5. Stage information will be provided later.
Rules of Attendance:
1. Children under 12 years are not allowed. If you can leave children (<12 years) home or somewhere, it will be good. If not, we will try to arrange adult baby sitters. The cost of babysitting is $20/child. No children will be allowed in the volunteers program, even for a few minutes. No exceptions please.
2. Snack time is between 2:30 - 3:30 P.M. No snacks will be available after 3:30 P.M.
3. Seating arrangement for schools will be done by combining lottery and sequence of submitting names. For example, if a school submits its volunteers' list earlier, it will have more slips in the hat to be drawn for seating table location. The last date of submitting attending volunteers' names as well as program information is Nov. 15. Please use the Excel sheet you already submitted and check who will be attending w/o spouse.
4. Only 2 teachers/class section are allowed. Third teacher/helper/room mother are not allowed.
5. Only regular (not spot or occasional) volunteers are allowed.
6. Parents or other family members of any volunteer are not allowed. If you must bring them for a compelling reason, please submit their names by Nov 15 and provide $30 fee/person by Nov 20.
Guidelines for submitting the audio for the teachers recognition program
If coordinator/school teachers/volunteers will be performing any individual song, group song or any other item that requires a playback, please send it one week prior to the date of the program.
Please follow the guidelines listed below
1. Please email the audio of the song/play that you will be performing one week prior to the program date to fors...@hotmail.com
2. The format of the audio must be MP3.
3. As a backup, when you come to the program venue, please bring a copy of that audio with you on CD or on a Flash Drive in MP3 format. This will be a backup in case there is any problem with your submission.
4. When you send the MP3 Audio file, please use the following naming convention for the audio file so it will be easier to identify the song quickly : SchoolName_SongTitle.Mp3 for example Woodbridge_SaraswatiVandana.MP3 or such as Edison_ SareJahanSeAchha.MP3 etc.
5. When you email the music files, make sure the quality of Audio is good and file is readable. Please write your phone number in the email so we can contact you and confirm the receipt of the file.
Since, we will not have enough time to test all the audio files on site on the day of event, we request you to please follow the above guidelines so that all issues can be resolved before they happen.
