Hello HECMAland,
We are having trouble getting community providers to sign up for our online referral database.  It's free and not too difficult,  but the new listings are barely trickling in.  Follow up emails have been sent....anyone have suggestions? 

Thanks for any ideas!

I do a meet and greet that includes breakfast and “getting to know each other” time for clinicians. I also add some fun activities. You can use the major provider databases to contact others that may not know about you.

I think we tend to have a similar issue in terms of getting providers to ‘opt-in’ to our referral list via a provider survey we send out each year—not as many of them answer as we like, so my focus has tended to be on individual outreach to therapists, on the phone and via email (since we have a therapist connection list-serve in our area that I was able to join). I think a meet and greet is a great idea, too, though!

We have do a provider fair on campus where we invite community providers to table. We also invite students to attend and other offices on campus that may find it beneficial to have knowledge/ connection. This way it is worth the providers time to come and we have an opportunity to make a stronger connection with them. It has been successful. I have also attended other fairs on campus (such as ones hosted by the College of Social Work) to interface with providers and gather information about community resources. Honestly we do not have a data base where providers provide their own information, but I do input information about providers into forms that I have created on our shared drive.  I would be interested in hearing more about the system you use Lisa.

Hi Lisa-

We’ve had a pretty robust response to our community provider database that went live a couple of years ago on our website.  We now have over 200 providers listed.  We are, however, working on a system to make sure these profiles are updated regularly by the providers so we do not run into having inaccurate information, etc.

 

I meet with some of our regular community providers who are larger agencies on a semester basis to check in about referrals and changes.  I think this has been really useful for maintaining our relationship.

 

I send a semester newsletter by email to our community providers with spotlights on our workshop and group offerings, as well as new resources on campus that they are unlikely to know about. 

 

Every other year we host a two day community provider open house where we have some programming on our referral process and other hot topics in college mental health.

Hi Lisa,

 

I’ll be watching this topic, as we will go live with a database in which providers can complete and update their own profiles soon (our current database is internal only, and I have to do all of the updating).

I’ve been getting good responses from twice quarterly emails to all of our providers (like Jennifer mentioned).  The first quarter showed fewer responses, but subsequent quarters have resulted in increasing response rates for me.  Maybe that would help you?

May I ask which platform you all are using that would allow external community members to update their own profile (Example: google forms, etc)?

Hello. All. 

Community Databases are such a great opportunity.  

Over the years I have heard a variety of models  for recruiting// retaining providers.  Here are a few.. some already mentioned.
  • provider orientation a "here's what campus can and can't do" meet & greets for good neighbor juju  - offering CEU's for the college student development "training" portion
  • Offering providers on list - who maintain current info opporunity to attend 1-2 trainings hosted on campus for free; - and with CEU's -- esp those "mandatory" bi-annual trainings.
  • fee wiavers and dicounsts offered to students for priority listing ( informal-to-formal agreements)
  • special "marks" for those who attend the campus provider orientation versus those that don't; designated as more "college" friendly.

We just started using Maxient this past fall.  There are a lot of things I like about it but believe I will need to adjust things as time goes by and I learn more about how to maximize its potential.

Good morning all! 

This is a wonderful exchange about an important topic that consumes a great deal of time; recruiting, organizing, and maintaining community referral options. I have started a discussion board within HECMAte Connections and encourage us to continue the discussion there!
